Purpose

Provide administrative and operational support for employment-based immigration matters to ensure compliance with applicable laws and company policies. The Immigration Coordinator assists with case management, documentation, tracking of work authorizations, and coordination with employees, managers, HR, and external counsel. This role
supports immediate business needs and contributes to effective workforce planning related to immigration processes


Responsibilities
Leadership and Direction
  • Perform work under moderate supervision, receiving guidance on complex or high-risk matters.
  • Exercise sound judgment within established immigration processes and procedures.
  • Escalate complex immigration issues to senior HR leadership or external counsel as appropriate.
  • Maintain confidentiality and accuracy in handling sensitive immigration and employment information.
At the Operational and Company Level
  • Build collaborative relationships with Talent Acquisition, HR Business Partners, employees, and managers to support immigration case processing.
  • Represent the organization professionally and compliantly in communications with employees and external counsel.
  • Support the delivery of high-quality customer service to employees navigating immigration processes.
  • Assist in maintaining organized and compliant immigration tracking systems and documentation.
Do the Work
  • Provide administrative support for U.S. and global employment-based non-immigrant and immigrant visa processes.
  • Coordinate with employees, managers, and external immigration counsel to gather required documentation and track case progress.
  • Maintain accurate immigration records in HRIS and immigration case management systems.
  • Monitor visa expiration reports and assist with timely initiation of extensions, amendments, and employment reverifications (including I9 updates).
  • Assist with preparation of visa support letters and required immigration forms.
  • Support PERM and permanent residence processes by coordinating documentation and recruitment efforts as directed.
  • Track and maintain Public Access Files and other compliance-related documentation.
  • Assist with drafting communications and responding to employee inquiries regarding case status and required documentation.
  • Help maintain and update immigration policies, procedures, and internal guidance materials.
  • Support reporting and data tracking related to immigration cases, timelines, and costs.
