Position Summary

The Executive Assistant to the President provides critical administrative and operational support that enables the president to focus on strategic leadership and institutional priorities. This position serves as the primary gatekeeper and coordinator for the president's schedule, collects information needed to deepen the president's understanding before engagements, drafts and reviews presidential communications, and facilitates daily operations, ensuring seamless execution of presidential duties and maintaining effective relationships with internal and external stakeholders. The role requires independent decision-making and discretion in managing confidential information and tactful communication on behalf of the president, while contributing to the efficient operation of the president's office. This position exists to maximize the president's effectiveness and accessibility while protecting the principal's time for the most impactful university leadership activities.

Minimum Required Education and Experience

Requires a bachelor's degree and minimum of 10 years related experience and/or training.
Prior corporate, government, or higher education experience supporting senior executives or elected officials is highly preferred.

Knowledge, Skills, and Abilities

Independent judgment and discretion are required for the successful candidate who will often be responsible for high-level, confidential collaborations with others to assure success.
Experience drafting executive-level correspondence, supporting board and governance operations, and sensitive-issue communications.
Experience coordinating domestic and international travel, including private transportation.
Applicants must be highly organized, detail oriented, adaptable to an ever-changing schedule, possess strong interpersonal skills, and, at times, be flexible with their hours as the president's schedule demands, including occasional evening and weekend work.
Expected: proficiency with calendar/office software (Microsoft suite, Outlook, etc.).

Job Duties

  • Calendar and Schedule Management Independently manages the president's daily and long-range workload and schedule, making decisions about appointments and engagements while prioritizing the president's time and availability.
  • Meeting and Event Coordination Prepares and collects meeting materials, coordinates room requests and reservations, and works with other departments to schedule individual meetings as well as university board and council meetings.
  • Communication and Correspondence Management Maintains the president's contact lists, handles correspondence, prioritizes telephone calls and daily mail, and communicates diplomatically with internal and external constituents.
  • Travel and Logistics Support Arranges travel plans, including flight and car services and related tracking, parking reservations, office supplies procurement, and other logistical details necessary for the president's success and efficient operations.
  • Information Management and Briefings Compiles daily and weekly briefing materials and confirms and verifies appointments with internal and external constituents to ensure accurate information flow.
  • Stakeholder Relations and Office Support Assists students, parents, alumni, friends of the university and other stakeholders by providing solutions or appropriate referrals, while supporting university senior staff and the overall operation of the president's office as needed.
