ROLES AND RESPONSIBILITIES:

  • Screening, monitoring and filtering emails, drafting correspondence, and often handling sensitive or confidential information with total discretion.
  • Schedule appointments, and assist in the preparation for meetings with different stakeholders and internal staff
  • Tracking deadlines for various departments and following up on "action items" to ensure the executive's initiatives stay on track.
  • Supports the Executive staff directly as the go-to person for all needs, including daily administration, calendar management, travel schedules, project coordination, delivering presentations, answering calls, etc.
  • Take accurate minutes of meetings, finalize them in standardized templates and disseminate to staff.
  • Complete daily tasks in the community and provide office support as directed by the Executive staff
  • Conserves Executive staff team's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
  • Manage sensitive information with absolute discretion.
  • Ability to manage multiple projects and assist in the preparation of special projects
  • Contribute to team effort by accomplishing related results as needed.
  • Become familiar with a variety of True North Recovery's mission, vision, value in alignment with our practices and procedures.
  • Carry out administrative duties such as filing, data entry, copying, scanning, etc.
  • Maintain computer and manual filing systems whereas needed throughout the Executive Office.
  • Performs job in compliance with applicable laws, True North Recovery's policies and procedures as well as community and professional standards.
  • Performs additional duties and responsibilities as assigned.


QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • High school diploma or equivalent; college degree preferred.
  • At least 3 year of experience in the field or in a related field, preferred.
  • Proven administrative or assistant experience.
  • Knowledge of office management systems and procedures.
  • Combination of education, experience, accepted.
  • Employment is contingent upon receipt of a satisfactory state and federal background check.
  • Must be able to pass alcohol and drug screen.
