We are seeking a driven individual who is eager to learn, contribute, and grow within a fastpaced hospitality-focused property organization. Job Summary:
Oversee the daily operation and administrative functions of The Venue/Lodge, Resort Pool, and Sports programming while delivering an exceptional, lifestyle-driven wellness experience that prioritizes member satisfaction, engagement, and retention.
 
The Wellness & Sports Manager is responsible for the development, execution, and continuous evolution of programming that drives active participation, meaningful membership, and high visibility within the community. This role requires hands-on leadership and direct involvement across all wellness verticals to ensure the quality, consistency, and alignment of programming with the Esplanade lifestyle experience.
 
The Wellness & Sports Manager serves as the operational leader for all wellness amenities, balancing hospitality, programming, financial performance, facility excellence, and member engagement to deliver a consistent Esplanade resort experience.
 
The manager will lead all vendor and independent contractor relationships and is accountable for ensuring all programming, policies, and procedures are executed to the highest standard while fostering a culture centered on service excellence and member experience.
 
Member satisfaction, engagement levels, program participation, overall community activation, and financial performance measure success in this role.
 
Supervisory Responsibilities:
  • The wellness and sports team consists of full-time and part-time employees of the management company, independent contractors, and/or vendors.
  • Help recruit, select, train, supervise, schedule, manage, and evaluate the Wellness team.
  • Develop and monitor training and education opportunities for subordinates and encourage self-improvement.
  • Handle discipline and termination of subordinates in accordance with HR Department and company policy.
Duties and Responsibilities:
Daily Operations/ Scope of Position
Departmental Management Oversight:
  • Spa programming (single treatment room offering massage and facial services).
  • Fitness programming (fitness memberships, group fitness classes, and personal training).
  • Sports programming (tennis, pickleball, bocce, and cornhole).
  • Resort pool programming.
  • Guest policy administration and enforcement.
  • Wellness center and locker room operations.
  • On-site laundry operations supporting wellness and spa services.
  • Wellness vendors, independent contractors, and programming partners.
  • Oversee specialty wellness amenities and recovery experiences offered within the community.
Operations, Programming & Compliance:
  • Ensure that the departments operate in compliance with all applicable local, state, and federal laws, including maintaining active professional licenses and liability insurance on file.
  • Plan, develop, and implement policies, procedures, and training programs within the facility.
  • Assist in developing the budget for Wellness programming and Sports and create strategies to adhere to the annual budget.
  • Attend weekly Department Head meetings and convey all relevant information to staff and vendors as needed.
  • Effectively order and maintain adequate inventory levels by conducting monthly inventory counts and developing procedures for accurate inventory control and monitoring.
  • Maintain all transactions in JONAS/Mindbody, including member and guest appointments, revenue tracking, and transaction accuracy.
  • Oversee wellness technology platforms including member scheduling systems, fitness technology, digital programming, and department software to ensure an exceptional member experience.
  • Implement/program the Venue and Sports marketing strategy to optimize profit and increase guest traffic.
  • Increase facility attendance by establishing accurate records of members' and guests' attendance.
  • Implement ongoing promotions to drive product and service sales, while maintaining a strong planning and programming calendar to consistently retain and grow our customer base.
  • Monitor and evaluate the product offerings of the Club, including equipment, personnel, and services, recommending additions and/or discontinuation of products and services in addition to consistently developing and programming through training, tools, and monitoring.
  • Edit all mass communications (electronic and traditional) for consistency, content, and tone.
  • Oversee the flow of information that members receive via reservation software and mass e-mails.
  • Be visibly present in The Venue and on the Sports during peak periods of the day.
  • Ensure full coverage of the wellness and court professional staff by managing and approving vacation and travel schedules.
  • Ensure all equipment and supplies are stocked and well-maintained, including computer hardware/software, office supplies, and fitness equipment.
  • Conduct routine operational inspections and quarterly facility assessments to ensure cleanliness, safety, equipment functionality, brand standards, and preventative maintenance across all wellness amenities.
  • Create a work environment that promotes positivity, teamwork, performance feedback, recognition, mutual respect, and employee satisfaction, and fosters a culture of excellence, enabling staff and vendors to deliver superior service to members and guests.
  • Greet members and guests at The Venue and oversee the coordination of all members' and guests' requests, issues/complaints in a professional, courteous, and timely manner.
  • Provide outstanding service to our members and their guests professionally and courteously.
  • Oversee the maintenance of all equipment in the facility.
  • Provide strong leadership and a valued work ethic for facility staff, vendors, members, and guests.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of the organization.
  • Ensure all programming and services are executed with a focus on member satisfaction, engagement, and quality of experience, not solely on operational efficiency.
  • Actively participate in wellness, fitness, and sports programming to maintain connection to the member experience and team performance.
  • Oversee and facilitate open play programming to ensure structure, fairness, and a positive social environment.
  • Consistently enforce guest policies to maintain a member-first environment across all amenities.
  • Evaluate programming success based on participation, engagement, and member feedback, not just revenue performance.
Member Experience & Engagement:
  • Serve as the primary driver of member satisfaction, engagement, and retention across all wellness, spa, pool, and sports programming.
  • Maintain high visibility and presence during peak hours to actively engage with members, gather feedback, and build relationships.
  • Actively teach group fitness classes, provide member orientations, and deliver personal training services as business needs require.
  • Ensure all programming is intentionally designed to create connection, community, and repeat participation.
  • Actively solicit, evaluate, and respond to member feedback to continuously enhance the member experience.
  • Monitor participation trends and adjust programming to meet evolving member interests and expectations.
  • Lead by example in delivering a hospitality-driven, service-first culture across all team members and vendors.
  • Ensure guest policies are clearly communicated, consistently enforced, and aligned with preserving the member’s first experience.
Other Common Responsibilities:
  • Assist members in using the online scheduling software.

  • Provide a monthly report detailing current programming.
  • Maintain an up-to-date calendar of events for the current and upcoming seasons.

  • Constantly explore ways to improve all aspects of the club and member experience.
  • Troubleshoot with outsourced IT companies to quickly fix and maintain online booking sites, e-mail accounts, wellness computers, and booking display screens.
  • Coordinate with club leaders to ensure all aspects (food & beverage, setup, etc.) are aligned with events.
  • Complete and submit payroll every other Monday (before 10 am) via the payroll software and submit all vendor check requests to the CAM (Community Association Manager) for approval and processing.
  • Handle monthly billing for The Venue and the payment of staff and vendor sales commissions.
  • Inspect and maintain cleanliness, organization, safety, and repair throughout the facility.
  • Perform other duties as assigned by supervisor(s).
Required Skills/Abilities:
  • Excellent organizational and time management skills.
  • Excellent interpersonal skills and ability to communicate with members in an appropriate tone and manner, both verbally and in writing.
  • Possess a high level of energy, initiative, enthusiasm, and cooperation, and exercise good judgment and discretion.
  • Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, Publisher, and operating systems such as POS (Mindbody/ Jonas Club Software).
  • Comfort with public speaking, critical thinking skills, and conflict resolution strategies.
  • Must be able to perform moderate physical work and may be required to lift up to 50 lbs. frequently and up to 30 lbs. frequently.
  • Perform activities such as bending, kneeling, crouching, reaching, standing, lifting, and grasping for up to 5 hours without sitting.
  • Extremely strong organizational skills.
  • Proven ability to lead a team in a collegial environment.
  • Ability to learn software systems (Google Forms, MailChimp) and understand registration processes, policies, procedures, equipment, materials, products, etc.
Educational and Experience:
Required:
  • High school diploma or equivalent.
  • Personal Training certification from a nationally recognized and accredited organization (e.g., ACSM, NASM, NSCA, etc.).
  • Current certification in CPR/AED and First Aid.
  • 2-3 years of experience and/or the equivalent in experience and training in a private, member-owned club/space.
  • 2-3 years of experience leading a team.
  • CPR and First Aid Certifications are required, or a willingness to become certified within the first 90 days.
  • Must possess strong leadership, management, and motivational skills, with the ability to interact with associates at all levels within and outside the company.
  • Must have a thorough knowledge of numerous spa modalities, possess a general understanding of body treatments, fitness, and group fitness programming, and be willing to train in our specific service offerings.
  • Regardless of licensure or certification, the Wellness and Sports Manager is expected to be actively and visibly involved in all areas of programming to ensure a consistent, high-quality member experience.
  • This includes direct oversight of program execution, enforcement of departmental policies and procedures, facilitation of open-play programming, and consistent reinforcement of guest policies to protect and enhance the member experience.
Preferred:
  • Previous experience as Fitness and/or Wellness Manager or Head Teaching Professional.
  • College Education - Bachelor’s degree in some sort of sports science field.
  • Certified Personal Trainer (CPT)
  • Group trainer certification in any modality.
Working Conditions:
  • Works indoors and outdoors.
  • Potential exposure to sharp, rapidly moving equipment, sharp utensils, harmful chemicals, and solvents if proper safety procedures are not followed.
