The City of Oceanside is accepting applications for a Part Time (20 hour per week) Professional Assistant to provide administrative support in the Risk Management division of Human Resources. The position will be responsible for: Health and Safety administrative support: Add/Remove drivers from online pull program, pull reports for the online system, review driver points and notify Risk/HR, pull DOT pull reports and file in driver files DOT drivers - handle all requests for DOT medical exams, prepare treatment authorization forms and email to employee/supervisor.
Collect documents and file in DOT driver files DOT DMV reimbursement - process all requests for fee reimbursement Manage Safety Glasses program - process all requests Manage safety boot program - process all requests Schedule and tracking of training completion and courses Risk Management administrative support: Archive of GL claims files Open/sort of incoming mail for Risk Division Follow up with requests for Government claim forms Respond to/complete potential claim calls and initial fact finding Additional general administrative tasks as assigned. Examples of Duties Receive and review of document submission from vendors as it relates to insurance, enter data into insurance database, communicate on vendor contacts and/or department contacts related to missing or incorrect information or documentation. Plans and schedules meetings and conferences; prepares materials for meetings; and performs other related duties as assigned.
Minimum Qualifications Knowledge of: Customer service Computer databases Ability to: Establish and maintain effective working relationships with other employees, City officials, outside agencies, and the general public. Communicate effectively both verbally and in writing. Experience and Training Experience: Administrative experience is required.
Training: High School diploma. A Bachelor's degree or higher in public administration, business administration, or a closely related field is desirable. License: A current, valid, California driver's license.
Working Conditions and Selection Process Environmental Conditions: Office environment; exposure to computer screens. Hours will vary depending on assignment. Physical Conditions: Essential functions may require maintaining physical condition necessary for sitting and standing for prolonged periods of time; speaking and hearing to exchange information; visual acuity to read and interpret information.
Selection Process:All applications will be reviewed and the most appropriately qualified individuals will be invited to continue in the selection process. The process may include a written and/or oral examination to assess job-related education, experience and training. Candidates who successfully complete the examination process will be placed on an eligible list according to their scores and will remain eligible for employment consideration for a minimum of six months.
