Job description

Location: In-office only (no remote work available at any time)
Hours: 15–25 hours per week (structured schedule with defined growth path)

About the Company

We are a well-established, operations-focused organization with a small, experienced administrative team supporting a fast-paced business environment. Our workplace values structure, reliability, and clear processes, and we take a practical, professional approach to daily operations.

About the Role

We are seeking a reliable and detail-oriented Administrative Operations Assistant to support our administrative team with structured, repeatable tasks related to document handling and Accounts Payable support.

This role is 100% in-office. While hours will be structured and consistent, flexibility may be considered during the initial scheduling setup to accommodate an applicant’s time constraints. Once the schedule is established and the role is accepted, consistent attendance during agreed hours is required, with the expectation of professionalism around occasional unforeseen needs.

This new position is part-time by design and may serve as a long-term entry point into the organization. Experience gained in this role is intended to build familiarity with our systems, processes, and business operations, supporting a smooth transition into increased responsibility and, for the right candidate, full-time employment.

Accuracy and consistency are prioritized over speed in this position.

You will work closely with a small administrative team and receive clear training, documented processes, and day-to-day guidance.

Key Responsibilities

• Filing and organizing physical and digital documents in a business environment
• Printing, assembling, and organizing Accounts Payable packages
• Performing basic Accounts Payable data entry using established systems
• Scanning, saving, and naming documents according to company standards
• Maintaining orderly shared drives, folders, and binders
• Completing other structured administrative tasks of a similar nature

Required Experience & Verification

• Previous experience in an office or administrative environment is required
• Experience with filing systems, documentation, or data entry in a professional setting
• Exposure to Accounts Payable or accounting support is a strong asset
• Prior office experience and references will be verified as part of the selection process

What We’re Looking For

• Strong reliability and attendance
• Demonstrated accuracy when working with paperwork and data
• Organized, methodical work style
• Ability to follow defined processes consistently
• Willingness to learn and take feedback
• Interest in growing responsibilities over time within the same organization

Hours, Growth & Role Scope

This is a part-time role (approximately 15–25 hours per week) with a consistent schedule. We are open to growing this role into a full-time position for the right candidate.

This role is generally intended for candidates interested in long-term growth within the organization. Growth may include expanded administrative or operational responsibilities, or progression into full-time employment; however, this role is not intended to develop into a professional accounting position, CPA-track role, or formal accounting mentorship pathway.

Progression is based on performance, reliability, and demonstrated capability.

This role is best suited for candidates seeking a stable, long-term position rather than short-term or temporary work.

Compensation & Benefits

• Compensation begins at $20/hour and is negotiable based on experience and skill
• Medical benefits and RRSP programs are available to full-time employees only, in accordance with company benefit plan terms

Why This Role May Be a Good Fit

• Predictable, structured, in-office work environment
• Clear expectations and documented processes
• Opportunity to build strong operational and business literacy
• Defined pathway for increased responsibility and hours
• Well suited for individuals seeking stability, reliability, and long-term growth
• This role is not intended to be replaced by AI or automated processes
• This is a newly created role and is not the result of a vacancy
