Job description

Assistant Project Manager (APM) supports the Project Manager in planning, coordinating, and executing commercial construction projects from preconstruction through closeout. This role requires experience working on both ground up and heavy renovation environments and knowledge of regulatory requirements, document control protocols, and complex coordination in existing/occupied facilities and campuses.
The APM ensures projects are delivered safely, on schedule, within budget, and in compliance with the contract documents.
Key Responsibilities: 
Project Coordination & Administration: 
  • Assist in managing all phases of the construction projects, including renovations, expansions, and new builds.
  • Support development and maintenance of project schedules, budgets, and cost reports.
  • Coordinate subcontractors, consultants, vendors, and inspectors.
  • Prepare and track RFIs, submittals, change orders, and meeting minutes.
  • Maintain accurate and organized project documentation.

Project-Specific Compliance: 
  • Ensure compliance with industry regulations and guidelines, and local/state building department requirements.
  • Assist with phasing, project access planning, safety management, and overall project organization.
  • Coordinate construction activities to minimize disruption in occupied facilities.
  • Support permitting and inspection processes.

Financial & Contract Management: 
  • Assist in buyout and subcontractor scope review.
  • Track and manage project costs, forecasts, and pay applications.
  • Review subcontractor invoices and verify progress.
  • Support change management process and cost analysis.

Scheduling & Quality Control: 
  • Monitor project schedule milestones and identify potential delays.
  • Participate in site walks and quality inspections.
  • Coordinate punch lists and project closeout documentation.
  • Ensure compliance with project specifications and safety standards.

Communication & Stakeholder Management: 
  • Support client communications and progress reporting.
  • Attend OAC (Owner-Architect-Contractor) meetings.
  • Collaborate with staff, facility managers, and stakeholders.
  • Maintain professional relationships with clients and regulatory agencies.
Required Qualifications: 
  • Bachelor’s degree in Construction Management, Engineering, Architecture, or related field (or equivalent experience) is preferred.
  • 2–5+ years of construction experience, with demonstrated commercial project exposure.
  • Experience working in active/occupied environments strongly preferred.
  • Understanding of construction codes, life safety requirements, and site control practices.
  • Proficiency in project management software (Procore, Bluebeam, MS Project, Primavera, etc.).
  • Strong knowledge of construction documentation and processes (RFIs, submittals, change orders).
  • Ability to read and interpret construction drawings and specifications.

Preferred Qualifications: 
  • Experience with local Miami Dade and Broward County agencies.
  • Basic understanding of plumbing systems, critical power, and specialized HVAC systems.
