Job Title: Landscape Assistant Project Manager (APM)
Location: Lake Nona - on-site across Tavistock-managed properties and communities, with regular local travel between job sites

Tavistock Development Company is seeking a detail-oriented, hands-on Landscape Assistant Project Manager to support landscape operations and account management across our managed properties and communities. This role is central to keeping day-to-day field work, reporting, and vendor coordination running smoothly.


You'll be out in the field regularly, tracking conditions, coordinating repairs, and keeping every workstream organized and moving toward resolution.


Responsibilities

Field & Reporting Support

  • Conduct routine site walks and document conditions (irrigation issues, plant health, pest activity)
  • Compile weekly/monthly reports with photos and summaries
  • Track deficiencies and follow through to resolution

Work Order & Task Management

  • Log, track, and update all Smartsheet line items
  • Maintain status reports of open vs. closed items
  • Coordinate with vendors to ensure timely completion

Irrigation & Maintenance Coordination

  • Track irrigation repairs, wet checks, and controller adjustments
  • Maintain logs of ongoing maintenance activities
  • Flag recurring issues for escalation

Meeting & Communication Support

  • Prepare agendas, reports, and supporting documents for meetings
  • Document meeting notes and action items
  • Track and follow up on assigned tasks

Requirements

Qualifications

  • 5-7 years of landscape operations experience preferred, ideally including field/crew supervisory experience with a landscaping company; working knowledge of herbicide management and GIS is a plus, along with experience supporting CDD and/or HOA-managed communities
  • Working knowledge of plant identification, landscape maintenance practices, turf management, pruning, plant health, pest identification, and Central Florida growing conditions
  • Working knowledge of commercial irrigation systems - valves, controllers, two-wire systems, irrigation zones, flow monitoring, troubleshooting, wet checks, scheduling, system diagnostics, and Rain Bird IQ4 - with the ability to review system performance, identify deficiencies, track repairs, and coordinate corrective actions with irrigation technicians and contractors
  • Strong organizational skills with clear written and verbal communication; bilingual (English/Spanish) strongly preferred to support day-to-day coordination with landscape crews
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and the ability to learn CRM or landscape management software
  • Valid driver's license required - this role involves regular travel between job sites, and a DMV records check will be conducted for company insurance purposes
