How does the role impact the organization?

This role will be reporting to the Branch Administrator, providing ongoing administrative support to the branch, and its clients. As the branch's first point of contact, the receptionist expertly manages client interactions and maintains seamless office operations and embodies the pinnacle of professionalism and efficiency. The ideal candidate will be responsible for maintaining an orderly office environment, preparing and cleaning boardrooms, maintaining common kitchen area, setting up events, coordinating catering services, and providing receptionist duties. This role is crucial in ensuring the smooth operation of our Branch and supporting our team in delivering exceptional service.

What will your role be responsible for? 

  • Answer all incoming calls on the main switchboard,
  • Greet and assist visiting clients and guests,
  • Ensure the office is kept clean, stocked and organized, including boardrooms, common areas, kitchens, and supply rooms,
  • Handle and correctly escalate incoming client calls,
  • Distribute and post mail,
  • Accept, distribute and arrange all courier pick-up and deliveries,
  • Organize and book branch boardroom meetings,
  • Set up prior to and clean up after boardroom presentations; and after individual client/advisor meetings,
  • Operate video and audio-conferencing equipment,
  • Clean and set up boardrooms for meetings, including arranging furniture, setting up audio-visual equipment, and ensuring all necessary materials are available,
  • Assist in the planning and execution in office events, including setting up, arranging decorations, and coordinating logistics.
  • Manage catering orders for branch meetings and events, ensuring timely delivery and proper setup,
  • Monitor and replenish office supplies, ensuring all necessary items are stocked and available.
  • Assist with various administrative tasks as needed, including data entry, filing, and document preparation.

Salary Range: $40,000-50,000 annually, in addition to competitive performance bonuses/incentives.
