What Youโ€™ll Do This dual-focus role keeps the front desk welcoming while ensuring our daily clinic operations run smoothly.

Welcome & Direct: Greet families, clients, and visitors with a warm, positive attitude. Manage the lobby environment to keep it clean, safe, and organized.

Phones & Inquiries: Answer incoming calls, route messages to clinical leadership, and assist prospective families with basic information about our services.

Scheduling Coordination: Assist the Clinical Director and Owner with daily schedule tracking, noting client or staff absences, and helping with session adjustments.

Office Coordination: Manage inventory, organize session materials, and assist with basic backend filing and scanning.

Administrative Assistance: Support the leadership team with basic onboarding and insurance tasks, organizing client digital files, and keeping compliance documentation up to date.

What Weโ€™re Looking For

Required:

High school diploma or equivalent, Associateโ€™s or Bachelorโ€™s degree preferred

1โ€“2+ years of experience in a front desk, reception, or administrative assistant role (medical, dental, or pediatric clinic experience is highly preferred).

Exceptional communication, empathy, and interpersonal skillsโ€”you genuinely love interacting with people and helping families.

Strong organizational skills and attention to detail; you can multitask without losing track of small details

Highly reliable and punctualโ€”the clinic relies on the front desk to start the day smoothly.

Preferred:

Understanding of ABA therapy, autism services, or special education environments.

Basic understanding of therapy scheduling or therapy office flow.
