About the Role

American Stone is looking for a proactive and adaptable Executive Assistant with HR & Accounting Support experience to assist multiple departments in a fast-paced, hands-on environment.

Compensation: $20–$30 hourly depending on experience

This role goes beyond traditional executive support. You will be deeply involved in daily operations, HR coordination, accounting support, bilingual communication, and ensuring tasks and priorities are executed without delays across departments.

This is a high-impact role ideal for someone who thrives under pressure, enjoys multitasking, communicates professionally, and takes ownership of getting things done without constant direction.

A Day in the Role

  • Manage executive schedules, communications, and shifting priorities
  • Support HR tasks including onboarding coordination, employee communication, and administrative follow-up
  • Assist with accounting and administrative tasks such as document organization, data entry, and internal reporting
  • Provide bilingual support for Spanish-speaking employees, applicants, vendors, or customers when needed
  • Act as a key point of communication between quarries, drivers, managers, vendors, and departments
  • Coordinate delivery dispatch and assist with operational logistics
  • Track tasks, follow-ups, and deadlines across multiple projects
  • Draft and send professional communications independently
  • Interface with regulatory agencies and support compliance tasks
  • Handle incoming calls, visitors, and day-to-day office operations
  • Maintain office supplies and ensure equipment is functioning properly
  • Occasionally source parts or solutions for operational needs
  • Solve problems quickly and keep operations moving in a fast-paced environment

Qualifications

Required:

  • Candidates must be willing to provide professional references during the hiring process
  • 5+ years of experience supporting executives, operations, HR, accounting, or administrative departments
  • Highly organized with strong follow-through
  • Comfortable handling multiple priorities at once
