Job description

Leasing Administrative Assistant

ACX is a vertically integrated private real estate investment firm with primary offices in Stamford, Connecticut and Denver, Colorado.  The firm focuses on grocery-anchored and necessity retail shopping centers in the Top 25 MSAs across the United States. ACX’s growing nationwide portfolio includes 26 properties totaling approximately 4 million square feet, approaching $1 billion in assets under management. The firm is actively investing in value-add and core-plus transactions on behalf of its institutional investors.


Position Overview:

ACX is seeking to fill a Leasing Administrative Assistant role in our Denver, CO office. This position will be responsible for coordinating leasing administration, maintaining property marketing materials, supporting tenant communications, and providing general office administrative support. This position reports to the Director of Leasing.

Essential Functions:

  • Lease Administration
    • Enter new leases, amendments, renewals, and extensions into Yardi
    • Maintain accurate tenant contact information and lease records
    • Establish, organize, maintain, and archive electronic and physical lease files
    • Prepare, assemble, distribute, and track lease documents, notices, commission agreements, and related correspondence.
    • Track leasing activity, tenant sales reporting, property information, and market availability across the portfolio
    • Send property-wide communications through Commercial Café and assist tenants with account setup and ongoing support
    • Assist the Accounting team with invoice processing and annual budget preparation
    • Monitor lease commission payments and assist with commission tracking
  • Marketing Support
    • Create and maintain Leasing marketing materials such as property brochures, leasing flyers, site maps conference materials, etc.
    • Coordinate property photography and leasing signage updates as needed
    • Assist with the planning, coordination, and logistical support for industry conferences, trade shows, and other marketing initiatives
    • Assist with updates to the company website and other digital marketing materials
  • Office Support
    • Serve as the primary point of contact for incoming calls to the Denver office, directing callers to the appropriate team members
    • Coordinate the preparation and shipment of lease documents, notices, marketing materials, and other business correspondence via mail, courier, and overnight delivery
    • Process and distribute incoming mail and packages for the Denver office
    • Coordinate meetings, conference calls, and travel arrangements as needed
    • Assist in maintaining an organized, professional office environment
    • Other duties and special projects as assigned.

Qualifications:

  • Bachelor’s degree or equivalent practical experience
  • Minimum of 2 years of administrative experience, preferably within a commercial real estate leasing, property management, or marketing environment
  • Excellent written, verbal, and interpersonal communication skills
  • Strong organizational skills with exceptional attention to detail
  • Ability to prioritize multiple assignments, meet deadlines, and work independently in a fast-paced environment
  • Professional demeanor with strong customer service skills
  • Experience with Yardi, Adobe Creative Suite (InDesign, Illustrator, Photoshop, Acrobat) and/or Canva strongly preferred
  • Experience creating marketing collateral, presentations, and graphic materials
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint
  • Familiarity with Commercial Café, CoStar, LoopNet, or similar commercial real estate platforms is a plus.


Compensation and Benefits

  • Annual Salary Range: $60,000-70,000
