POSITION TITLE: Administrative Assistant, Property Management


MANAGER: Vice President, Property Management

GENERAL DESCRIPTION: Principally responsible for the management of the office, inventory management, assist with maintaining the photographic archives of all company projects, monitoring, and ordering supplies as well as other administrative functions as assigned.


QUALIFICATIONS: Education: Some college education preferred. High School Diploma required.


Experience:

  • Minimum five years of work experience as an Office Manager or similar function. Proficient in Microsoft Office products including Outlook, Word, Excel, and PowerPoint. Experience utilizing Salesforce and OneSite a plus.

ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES

  • Manage general office functions including supply re-stocking and coordination of cleaning crew and other office and/or company related contracts.
  • Perform administrative functions including processing invoices for payment and creating check requisitions.
  • Document management, scanning and filing as assigned.
  • Process all incoming and outgoing mail.
  • Responsible for inventory management which includes tagging, logging, and tracking of various GCHP assets.
  • Assist with updating and maintaining GCHP photography archives.
  • Coordinate staff meetings, special events, and other meetings.
  • Management office technology including software oversight, maintenance, phone system, and inventory tracking. Work closely with third party IT and phone system support vendors in execution of these duties.
  • Perform other related activities as requested.
