We are seeking an organized, motivated, and detail-oriented Assistant Project Manager to support our growing team and help deliver exceptional projects for our clients.
Position Overview
The Assistant Project Manager serves as a key member of our project delivery team, supporting Project Managers throughout all phases of signage and experiential graphic projects. This role is responsible for coordinating project activities, maintaining schedules and documentation, supporting estimating and procurement efforts, communicating with clients and vendors, and helping ensure projects are delivered on time, within budget, and to the highest quality standards. Key Responsibilities
  1. Project Coordination & Execution
  2. Support Project Managers in the planning, coordination, and execution of multiple projects simultaneously.
  3. Monitor project schedules, milestones, deliverables, and installation timelines. • Assist with project planning, task management, and workflow coordination.
  4. Identify potential project risks, delays, or conflicts and communicate solutions proactively.
  5. And all other work tasks as needed
Client & Vendor Communication
  1. Communicate with clients, vendors, subcontractors, and internal team members to ensure project objectives are met.
  2. Facilitate timely responses to project questions, approvals, and decisions.
  3. Coordinate material procurement, fabrication schedules, and installation logistics.
  4. Maintain professional relationships with project stakeholders throughout project execution
Estimating & Documentation
  1. Prepare project estimates, take-offs, budgets, purchase orders, and change orders. 
  2. Assist with cost tracking and budget management throughout project lifecycles.
  3. Generate reports and documentation to support project planning and execution.
  4. Maintain accurate and organized electronic project files and records.
Production & Installation Support
  1. Coordinate fabrication and installation schedules with vendors and field personnel.
  2. Support site surveys, field verification, and project closeout activities as needed.
  3. Review project documentation, drawings, specifications, and scope requirements.
  4. Help ensure project deliverables align with design intent and client expectations.
Administrative Support
  1. Prepare correspondence, reports, meeting notes, and project-related documentation.
  2. Track project performance metrics and milestone completion.
  3. Assist with data analysis and reporting to improve project efficiency and outcomes.
  4. Support company initiatives, procedures, and continuous improvement efforts.

Qualifications
Preferred Education & Experience
  1. Bachelor's degree in Construction Management, Project Management, Business, Architecture, Graphic Communications, Interior Design, Engineering, or a related field preferred.
  2. Previous experience in project coordination, project management, signage, construction, architecture, manufacturing, or a related industry is highly desirable.
  3. Entry-level candidates with strong organizational skills and a desire to learn are encouraged to apply.
