Overview

We seek an Assistant Practice Manager who measures up to our high standards. Our ideal candidate is a well-rounded person with outstanding communication skills and experience in people management.  An energetic people leader who has a passion for building teams, coaching and supporting staff. Someone who is comfortable working in an environment that is constantly changing, with the ability to juggle and prioritize multiple tasks. This is a full-time position located in one of our practices around the country. 

What you own:

Operations

  • Partner with the Practice Manager to support the day-to-day operations of a multi-physician cosmetic surgery practice, ensuring clinical and administrative functions operate efficiently and meet AirSculpt standards.
  • Assist with provider, room, and staff scheduling by identifying conflicts, maintaining schedule accuracy, and helping maximize practice capacity.
  • Support compliance with all federal, state, and local regulations, including AAAHC, JCAHO, and AAAASF standards.
  • Reinforce AirSculpt's policies, procedures, and core values while helping ensure operational consistency across the practice.
  • Support patient safety initiatives, quality improvement programs, infection control protocols, and environmental standards.
  • Assist with inventory management and purchasing of clinical and non-clinical supplies while maintaining appropriate inventory levels and cost controls.
  • Help coordinate daily clinical workflows to support patient safety, regulatory compliance, and adherence to AirSculpt clinical protocols.
  • Monitor operational metrics and provide support to improve case volume, patient flow, labor utilization, and overall practice efficiency.

Team Leadership & Staff Development

  • Support, coach, and develop front desk coordinators.
  • Lead by example by fostering a positive, accountable, and patient-focused culture that reflects AirSculpt's luxury brand.
  • Assist the Practice Manager in identifying employee development opportunities and escalating performance or employee relations concerns as appropriate.
  • Support onboarding and ongoing training for new and existing team members on Aesthetics Pro workflows, AirSculpt standards, and patient experience expectations.
  • Provide day-to-day coaching, feedback, and operational guidance to promote consistency and accountability across the practice.
  • Serve as the acting Practice Manager during scheduled absences or as delegated.

Patient Experience

  • Champion an exceptional patient experience from first contact through post-procedure follow-up, ensuring every interaction reflects AirSculpt's luxury standards.
  • Support before-and-after photo documentation workflows to ensure consistency, compliance, and quality.

Financial & Administrative Support

  • Assist the Practice Manager with monitoring labor, inventory, and operational expenses to support financial performance.
  • Review daily paperwork, reconciliation, and administrative documentation for accuracy and completeness.
  • Ensure documentation in Aesthetics Pro is complete prior to case closure to support accurate billing and compliance.

Perform additional duties and special projects as assigned by management.

Minimum Qualifications

  • 2+ years of customer service experience, preferably in healthcare, aesthetics, luxury retail, hospitality, or another high-touch service environment.
  • 2+ years of leadership or supervisory experience, with a demonstrated ability to coach, motivate, and develop high-performing teams.
  • Professional presence with the ability to represent the AirSculpt brand with confidence, discretion, and integrity.
  • Proven ability to build strong working relationships across departments and collaborate effectively with diverse teams and patients.
  • Highly organized with exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment.
  • Self-motivated, adaptable, and solutions-oriented with a proactive approach to problem-solving.
  • Strong written and verbal communication skills with the ability to communicate professionally at all levels of the organization.
  • Passion for delivering an exceptional luxury patient experience and creating a welcoming, patient-focused environment.
  • Ability to provide coaching, receive constructive feedback, and foster a culture of continuous improvement.
  • Proficiency with Microsoft Office; experience with EMR or practice management systems preferred.
  • Weekend availability (Saturdays and/or Sundays as required).

Preferred Qualifications

  • Bachelor's degree
  • Bilingual (English/Spanish)
  • Experience supporting practice operations, scheduling, inventory management, or financial reporting.
  • Strong analytical and organizational skills with the ability to identify workflow improvements and implement operational efficiencies.

Physical Demands

  • Must be able to sit or stand intermittently for the duration of a shift (8-12 hours)
  • Push/pull/lift up to 25 pounds
