Executive Assistant

We are seeking an energetic and motivated Executive Assistant to join our company. The Executive Assistant will provide high-level administrative support to senior staff. This role will screen visitors, answer phones, coordinate special events, prepare reports and filing and organizing documents.

Responsibilities
  • Under the direction of the President, completes a wide variety of administrative tasks that facilitate the Executive's ability to effectively lead the organization. This includes:
    • Assist with special projects.
    • Designing reports and presentations.
    • Prepare information for meetings with staff and outside parties.
    • Maintain contact lists.
    • Complete expense reports
    • Assist with general office duties, and manage office supplies, inventory, and stock.
    • Help with general office organization and communicate with various vendors and colleagues regarding office needs.
  • Works closely with Executives to keep them informed of upcoming commitments and responsibilities, following up appropriately.
  • Under the direction of the President manages all aspects of the company's office services.
  • Provides event management support as requested.
  • Receives incoming communication or memos on behalf of senior staff, reviews content, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Performs additional duties as assigned by executives.
  • Provides hospitality to all guests and helps to create a welcoming environment.
Qualifications

Education and Experience:

  • High school diploma required, bachelor's degree in business administration or related field preferred.
  • At least two years of related experience required.

Knowledge/Skills/Competencies:

  • Excellent verbal, written, and interpersonal skills.
  • Highly organized individual with a commitment to consistent attention to detail.
  • Flexibility and adaptability to assume additional responsibilities and accommodate customer requests.
  • Ability to work independently, often under pressure/situations within a team environment.
  • Ability to exercise discretion and independent judgment to perform a variety of tasks.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Able to type a minimum of 50 words per minute.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
