Facility Repair Assistant
Position Summary
The Facility Repair Assistant supports the Facilities team by coordinating repair requests, tracking work orders, communicating with vendors and landlords, and providing administrative support. This role helps ensure facility issues are resolved efficiently while maintaining accurate records and delivering excellent customer service.
Key Responsibilities
  • Process and monitor repair and maintenance requests through completion.
  • Coordinate with vendors, contractors, landlords, and internal teams to ensure timely repairs.
  • Track open work orders and proactively follow up on outstanding issues.
  • Review vendor proposals and assist with approval processes.
  • Resolve invoice discrepancies and vendor billing issues.
  • Maintain accurate records of work orders, invoices, and service activities.
  • Support Facilities Coordinators and Managers with reporting, projects, and other administrative tasks.
  • Escalate issues as needed and adapt to changing priorities.

Qualifications
  • High school diploma or GED required.
  • 0 to 4 years of experience in facilities, administrative support, customer service, or related fields.
  • Strong organizational, multitasking, and problem-solving skills.
  • Proficiency in Microsoft Office, including Outlook, Excel, and Word.
  • Excellent verbal and written communication skills.
  • Experience with facilities or work order management systems preferred.
