MARKETING COORDINATOR

We're looking for an energetic, creative, and highly organized Marketing Coordinator to help bring our brand to life through social media, content creation, community events, and exceptional patient engagement.
This is a hands-on role for someone who enjoys being both behind the camera and interacting with people. The majority of your time will be spent creating engaging marketing content, supporting events, and helping showcase our providers, patients, and practice culture. When needed, you'll also provide front desk support by assisting with patient check-in, responding to leads, and helping create a five-star patient experience. If you're creative, adaptable, love social media, and enjoy working in a fast-paced luxury medical practice, we'd love to meet you.
Primary Responsibilities:
Approximately 80% Marketing | 20% Front Desk & Patient Experience
Marketing & Social Media
  • Capture high-quality photo and video content throughout the practice
  • Film providers, treatments, before-and-after results (with patient consent), educational content, and behind-the-scenes moments
  • Create engaging content for Instagram, Facebook, TikTok, YouTube Shorts, and other digital platforms
  • Edit videos using applications such as CapCut or similar editing software
  • Create graphics using Canva or similar design platforms
  • Schedule and publish social media content
  • Assist in maintaining the marketing content calendar
  • Monitor comments, direct messages, and social media engagement
  • Stay current on social media trends and recommend creative content ideas
  • Collaborate with providers and medical assistants to gather content opportunities
  • Organize and maintain digital photo and video libraries
  • Ensure all content aligns with NOVA's luxury brand standards and messaging

Events & Community Outreach
  • Assist with planning and executing practice events, open houses, community events, and promotional activities
  • Coordinate event logistics, supplies, vendors, and event setup
  • Capture photos and videos during events for future marketing
  • Assist in promoting upcoming events across social media channels
  • Support event setup and breakdown as needed
  • Reach out to potential community partners to develop relationships

Patient Experience & Front Desk Support
When providing front desk coverage, responsibilities include:
  • Welcome patients with professionalism and warmth
  • Deliver an exceptional luxury patient experience
  • Answer incoming phone calls promptly and professionally
  • Respond to web inquiries, chat requests, and incoming leads
  • Schedule consultations using established scripts and scheduling guidelines
  • Enter and maintain accurate information in Aesthetix and Boulevard
  • Complete assigned lead follow-up tasks
  • Maintain accurate documentation and patient communication
  • Assist with patient check-in and check-out
  • Process payments accurately
  • Help maintain a clean, organized, and welcoming reception area
  • Support scheduling needs to maximize provider productivity

Administrative Support
  • Maintain organized marketing assets and files
  • Assist with administrative marketing projects
  • Support promotional campaigns and practice initiatives
  • Help track basic social media engagement and campaign performance
  • Assist with other marketing and operational projects as assigned

Qualifications
