SUMMARY

Provides administrative support to the Campus Pastor to fulfill the overall goals and objectives of the Starkville Campus and Pinelake Church. Primary responsibilities include providing daily support for the Campus Pastor (including email, schedule, and budget), coordinating campus-wide events, providing campus information to the One Church team, and updating and monitoring church management software.

SPECIFIC LIST OF DUTIES AND RESPONSIBILITIES

  • Provide comprehensive administrative support to the Campus Pastor by managing email and phone communications, coordinating meeting requests, and welcoming in-person guests.
  • Maintain and update the Campus Pastor's calendar, communicate schedule changes promptly, and ensure timely access to and distribution of important information and updates.
  • Develop and maintain advanced proficiency in Rock (church management system) to assist in the oversight of facility scheduling, including processing room reservations, updating existing bookings, and resolving scheduling conflicts to ensure the accurate coordination of all campus activities.
  • Provide training and refresher instruction to staff on the effective use of Rock as needed.
  • Utilize established room management processes to ensure accurate event setup by confirming room arrangements, cross-checking events with the campus calendar, and coordinating with the Facilities team to ensure clear communication and proper execution of all room setups.
  • Serve as the primary resource for the One Church and Starkville Campus calendars by ensuring all events are planned and approved through the appropriate ministry, maintaining calendar accuracy, and coordinating Security and MRT support as needed.
  • Review and file Campus Pastor expenses, ensuring that all information is provided in a timely manner and expenses are in the correct accounts.
  • Provide complete administrative support for the campus baptisms (calendaring, Rock information and approvals, scheduling baptism hosts, etc.)
  • Provide project support to the staff as needed and directed by the Campus Pastor.
  • Facilitate database management for new staff hires and exiting staff to ensure compliance with our policies and systems.
  • Develop a strong working knowledge of the Personnel Policy and help ensure the team consistently follows established policies and procedures.
  • Keep track of needed office supplies (including kitchen supplies) and restock when necessary.

May supervise and coordinate work with servant leaders.
QUALIFICATIONS

EDUCATION AND EXPERIENCE REQUIRED
High school diploma or equivalent minimum; college experience preferred. Two to five years of administrative experience.
LANGUAGE SKILLS
The individual must be able to understand written or oral instructions; read, analyze and interpret documents, instructions manuals, and policies and procedures. Excellent interpersonal skills, ability to work with a diverse group of people, communicate clearly and effectively on the telephone, email and in person, demonstrating tact and diplomacy.
COMPUTER AND MATHEMATICAL SKILLS

The individual must have demonstrated skill in the use of Windows/MacOS to complete tasks (including word processing and spreadsheets) and the ability to use the internet for information retrieval. The individual must be able to apply basic mathematical concepts and operations to such tasks as accounting, budget management, and financial expense monitoring.
REASONING ABILITY

The ability to simultaneously conceptualize and plan multiple tasks; project outcomes using different implementation strategies; and apply creative and innovative thinking to problem situations is required. The ability to work effectively and efficiently under stressful conditions to ensure deadlines are met is essential.
