Job description

The Operations Manager will oversee all property management, maintenance construction/renovation, budget planning, expense review and control, collections and tenant relations of assigned portfolio or region.

Support the Operations Department, reporting directly to Regional Property Manager Supervisors. Projects to include: managing building and tenant improvements, data collection and analysis, interior and exterior inspections, and budget analysis. To meet financial objectives by forecasting requirements, scheduling expenditures, analyzing variances, and initiating corrective action.

Roles and Responsibilities:

  • Effectively communicate technical and financial information to Property Managers, Asset Managers, and to the Director of Operations.
  • Review quality assurance inspections and assist in implementing quality processes at properties.
  • Manage safety programs, including employee training in fire safety, general emergency procedures, and use of emergency equipment.
  • Coordinate with Leasing Manager and Director of Leasing to maintain high occupancy and retain existing tenants.
  • Manage take over and dispositions as liaison between stakeholders and various Departments.
  • Effectively communicate with tenants and build positive relationships.
  • Read and interpret legal documents and contract service agreements.
  • Review monthly operating expenses and variance reports.
  • Manage and control operating expenses.
  • Prepare annual operating budgets and maintain budgetary guidelines.
  • Oversee capital projects as liaison between property level staff and Construction and Engineering Departments.
  • Review and approve expenditures within specified budgetary authority limits.
  • Evaluate existing contracts and effectively negotiate new contract pricing.
  • Interview, train, and develop talent.
  • Assist Property Managers with hiring and training site level employees.
  • Identify under-performing employees and provide critical feedback to improve performance.
  • Perform other duties as assigned.

Qualifications

Experience, Knowledge and Education:

  • Demonstrate the ability to manage multiple properties and team.
  • Knowledgeable in local, state, and federal laws that pertain to office/retail building management and tenant rights.
  • Demonstrate strong interpersonal and verbal/written communication skills.
  • Demonstrate a strong work ethic and leadership skills.
  • Demonstrate a high level of organizational skills paying close attention to detail.
  • Demonstrate multi-tasking and time management skills.
  • Ability to exercise good judgment and self-control.
  • Project planning ability within a budget and required time frame.
  • Ability to effectively work with people in demanding situations with a positive customer service oriented attitude.
  • Awareness of safety, risk management and preventative maintenance procedures.
  • Proficient with office management software, Microsoft Word, Microsoft Excel, Microsoft Outlook, and Yardi.
  • Effective in using a computer, keeping a database, preparing reports and written letters or notices to tenants and owners.
  • Bachelors degree required.
  • Extensive air travel is required across multiple markets.
