The Administrative Assistant for the Operations Team provides high-level administrative and organizational support to ensure efficient day-to-day operations. This role requires strong attention to detail, proactive problem-solving, and the ability to manage multiple priorities while supporting leadership and cross-functional teams.
Key Responsibilities
  • Provide administrative support to Operations leadership, including calendar management, meeting coordination, and travel arrangements
  • Coordinate and schedule meetings across multiple teams, ensuring alignment with priorities and minimizing conflicts
  • Prepare meeting materials, agendas, and follow-up notes to support effective decision-making
  • Serve as a point of contact for internal and external stakeholders, ensuring clear and timely communication
  • Assist with planning and logistics for team events, offsites, and leadership meetings
  • Maintain organized records, documentation, and shared resources for the Operations team
  • Track action items, deadlines, and key deliverables to support operational efficiency
  • Identify opportunities to improve administrative processes and implement more efficient workflows
  • Assist with reception coverage and front desk responsibilities as needed
  • Support special projects and initiatives as needed

Qualifications
  • 3+ years of administrative experience
  • Strong organizational and time management skills with the ability to prioritize effectively
  • Excellent written and verbal communication skills
  • High level of discretion and professionalism when handling sensitive information
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Teams) or similar tools
  • Ability to work independently and collaboratively in a fast-paced environment

Preferred Skills
  • Experience supporting senior leadership or multiple stakeholders
  • Familiarity with project coordination or operations workflows
  • Strong problem-solving mindset with attention to detail
  • Ability to anticipate needs and take initiative
