POSITION SUMMARY
The Operations Assistant position is responsible for providing assistance in the overall planning, development, organization and implementation of services. Works with the Marketing Department in completing refurbishment projects and keeps within budget constraints as outlined by work scope.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Maintains plant budget by entering all invoices and recording balances
  • Works in conjunction with Marketing to schedule all work, per scope, for new resident refurbishments
  • Secures pricing, and orders materials for plant operations department as needed
  • Maintains all 10-year refurbishments for those residents
  • Is the liaison between contractors and Christwood for all refurb projects
  • Orders office supplies and materials to maintain plant operations and environmental services
  • Organizes and participates in department meetings
  • Attends new resident orientation meetings and introduces residents to how Plant Operations supports them at Christwood
  • Any task or job that benefits Christwood or it's Residents
  • Assists with payroll
  • Coordinates department functions and services with other departments
  • Responsible for inventory management for Plant Operations including but not limited to researching product availability/pricing, and ordering products and quantities as determined by the Plant Operations Director
  • Processes work requests and generates work orders in conjunction with plant operations staff

OTHER RESPONSIBILITIES
  • Recommends improvements and offers suggestions as appropriate
  • Attends in-service training and education sessions as assigned
  • Maintains confidentiality of all pertinent resident information
  • Meets or exceeds internal and external customer service expectations and promotes the continuous improvement philosophy of the department and community
  • Uses equipment, services, and supplies in a cost-effective manner
  • Demonstrates a positive attitude and willingness to facilitate team functioning

QUALIFICATIONS
  • Associates degree in business or related field or equivalent work experience
  • Strong computer and typing skills
  • Experience in sales or hospitality environment, where good communication and customer relations skills are essential

SKILLS
  • Strong interpersonal skills; enjoys working with people
  • Utilizes time in efficient manner, completing duties in a timely fashion
  • Excellent phone etiquette and communication skills

PHYSICAL REQUIREMENTS
  • Normally works in comfortable, well-lit surroundings
  • Must be able to concentrate with frequent interruption
  • Must be able to sit up for 75% of the workday
  • Must be able to tour through the entire building, up to one mile
  • May be exposed to communicable diseases and must utilize universal precautions
  • May be exposed to unpleasant odors, high heat levels, and institutional cleaning chemicals
