Autos of Chicago is seeking an experienced Automotive Dealership Office Manager to oversee our dealershipโ€™s daily accounting and office operations.

We are looking for someone with strong automotive dealership accounting experience, excellent organizational skills, and handsโ€‘on Dealertrack DMS knowledge. This is a key management position that requires accuracy, accountability, and the ability to keep the office running efficiently.

Responsibilities
  • Oversee daily dealership accounting and office operations
  • Manage and support office/accounting staff
  • Review and bill vehicle deals for accuracy and completeness
  • Monitor funding, contracts in transit, and outstanding deals
  • Manage accounts payable and vendor payments
  • Monitor schedules, reconciliations, and general ledger activity
  • Handle and oversee titles, registrations, trade payoffs, and lien releases
  • Review deal jackets and ensure all required documents are complete
  • Monitor floorplan payoffs and vehicle inventory accounting
  • Process and track warranty/product cancellations and refunds
  • Coordinate with Sales, F&I, Service, Parts, and management
  • Ensure month-end accounting is completed accurately and on time
  • Maintain proper dealership records and ensure compliance with company procedures
  • Identify accounting discrepancies and resolve issues promptly
Qualifications
  • Previous automotive dealership office/accounting experience required
  • Dealertrack DMS experience strongly preferred
  • Previous Office Manager, Assistant Office Manager, Controller, or similar dealership experience preferred
  • Strong understanding of dealership accounting and deal processing
  • Experience with titles, funding, payoffs, AP, and reconciliations
  • Excellent attention to detail and organizational skills
  • Strong leadership and follow-up skills
  • Ability to work independently and take ownership of the department
  • Comfortable working in a busy, high-volume dealership environment
