Senior HR Administrative Assistant (Night Shift)

This role provides critical HR and administrative support to help leadership teams operate efficiently in a fast-paced remote environment. You will manage employee documentation, HR processes, executive coordination, and operational priorities with accuracy and professionalism. The position combines HR administration expertise with executive support responsibilities, offering broad exposure to business operations. You will play an important role in maintaining organized processes, ensuring compliance readiness, and improving administrative workflows. Working with distributed teams, you will contribute to a people-focused culture built on collaboration, trust, and continuous improvement. Accountabilities:

As a Senior HR Administrative Assistant, you will support HR operations and leadership activities by maintaining accurate records, coordinating administrative processes, and ensuring day-to-day priorities are handled effectively. You will act as a reliable partner for internal teams while improving organizational efficiency.

  • Maintain accurate employee records, HR documentation, and confidential personnel files.
  • Ensure HR documentation remains organized, complete, and ready for audits or compliance reviews.
  • Monitor attendance records, review timekeeping information, and resolve discrepancies when needed.
  • Support performance management processes and compliance-related documentation.
  • Coordinate HR meetings, prepare materials, and track action items and follow-ups.
  • Manage executive calendars, scheduling requirements, and travel arrangements.
  • Prepare reports, spreadsheets, HR trackers, and administrative documentation.
  • Support payroll documentation and other HR-related administrative activities.
  • Provide daily administrative support to leadership teams and key stakeholders.
  • Track deadlines, follow up on outstanding tasks, and ensure timely completion of deliverables.
  • Identify opportunities to improve HR processes, documentation systems, and administrative workflows.
Requirements:

The ideal candidate is a highly organized administrative professional with experience supporting HR functions and leadership teams. You should demonstrate strong attention to detail, discretion, and the ability to manage multiple priorities independently in a remote work environment.

  • 3–5+ years of experience in HR administration, executive assistance, office administration, or a similar support role.
  • Strong proficiency with Microsoft Office 365 applications.
  • Experience working with HRIS platforms and employee management systems.
  • Solid document management and records administration skills.
  • Excellent organizational, communication, and time management abilities.
  • High level of professionalism and ability to handle confidential information.
  • Strong attention to detail with excellent follow-through and accountability.
  • Ability to work independently while managing competing priorities.
  • Experience supporting senior leaders or executives is preferred.
  • Experience working with remote or distributed teams is a plus.
  • Background in process improvement, administrative coordination, or HR operations is highly valued.
  • Availability to work a night shift schedule aligned with EST hours.
