As the Administrative Assistant & Office Manager at The Merch Collective, you'll play a key role in supporting the President while helping create a seamless, organized, and welcoming experience for our team, artists, and industry partners. You'll balance executive support, office operations, and special projects in a fast-paced, collaborative environment where no two days are the same. Success in this role comes from being highly organized, proactive, and adaptable, with exceptional communication skills, strong attention to detail, and a hospitality-first mindset. You'll anticipate needs, solve problems before they arise, and help foster a positive, efficient workplace that enables our team to do their best work.
What you'll do:
  • Provide Executive & Administrative Support
    Serve as the primary administrative partner to the Executive Leadership Team by managing calendars, coordinating meetings across multiple time zones, preparing agendas and materials, taking meeting notes to distribute to attendees, handling confidential information with discretion, and anticipating executive needs to ensure seamless day-to-day operations. Coordinate business travel, expense reporting, invoice processing, and corporate card reconciliations while supporting presentations, reports, data analysis, and other strategic administrative initiatives
  • Manage Executive Operations & Business Administration. Provide administrative support for operational projects to senior leadership, including process documentation, organizational planning and documentation, and cross-functional initiatives.
  • Manage Office Operations & Workplace ExperienceOversee daily office operations to ensure an organized, efficient, and welcoming workplace. Manage office supplies, mail, facilities, showroom organization, vendor coordination, and new hire onboarding, including workspace setup, systems access, equipment, and orientation.
  • Plan & Execute Company EventsLead the planning and execution of company events, employee engagement activities, industry events, conferences, and special events. Manage budgets, vendor selection, logistics, contracts, and event execution to deliver high-quality experiences while maintaining cost efficiency.
  • Support Cross-Functional Teams & Continuous ImprovementProvide administrative and operational support across departments during peak business periods, collaborating with leadership to improve processes, enhance workflows, and contribute to an efficient, collaborative workplace.

  • An organized administrative professional with 2+ years of experience supporting executives, teams, or office operations in a fast-paced environment.
