Job description

SUMMARY: The primary responsibility of this position is to perform a diverse range of administrative and clerical activities in support of the Marketing Department. Specific position responsibilities include, but are not limited to the following:

DUTIES AND RESPONSIBILITIES:

  1. Performs all administrative and clerical activities in support of the Marketing Department based on a priority level set forth by the Director of Marketing or Marketing Manager.
  2. Responsible for providing a diverse variety of administrative activities in support of the diverse sections of the agency such as: Public Relations, Promotions, Entertainment, Production, Lake Club and Host Departments.
  3. Facilitates and traffics department Purchase Orders and inventory for office supplies or promotional needs.
  4. Assist in proofing all promotional material.
  5. Attends agency meetings and records minutes when necessary.
  6. Completes finish work (Cutting, Laminating and assist in placement) of Marketing material.
  7. Maintain inventory of Marketing sign holders.
  8. Maintain Marketing sign holders, including repair and or replacement and ordering.
  9. Works with vendors to process invoices and inquiries.
  10. Obtains bids for products, contact vendors for pricing and setting up meetings.
  11. Assists in the tracking of the marketing budget.
  12. Ensure that all printers are in working order and create work/service orders.
  13. Creates and maintains effective filing and other administrative agency duties.
  14. May work events such as receptions, drawings, entertainment or other promotional activities.
  15. Assists in other administrative department activities such as running agency errands, mailbox system between the casino and the marketing offices, office supply management and document archiving.
  16. Develops and maintains database to track all radio, news and television production and placement.
  17. Works with external suppliers to determine timing requirements, availability of services and obtain pricing quotes.
  18. Reviews and recommends the addition or deletion of suppliers in respect to the purchase of products, services or promotional needs.
  19. Creates Free Play, Buffet and Hotel Certificates for donation or by special request.
  20. Performs other duties as assigned.

SUPERVISORY RESPONSIBILITIES: None

SUPERVISION RECEIVED: Operates independently with supervision received by the Marketing Manager.

POSITION RELATIONSHIPS:

  1. Internal: Contact with all departments and associates on all levels.
  2. External: Occasional contact with guests, visitors or vendors in relation to Lake of the Torches Resort Casino.

EDUCATION: A High School Diploma or GED is required; Additional post high school education and Microsoft certifications are preferred.

EXPERIENCE: A minimum of two years working in an office environment supporting upper level management is preferred. Experience with various office equipment including, PC’s faxes and copiers. Must have demonstrated experience with Microsoft Excel, Word, Power Point and comfort in internet duties of search queries and file transfers.

KNOWLEDGE, SKILLS AND ABILITIES: Must possess excellent interpersonal, communication, telephone etiquette, organization and multitasking skills. Must be able to handle and maintain confidential and sensitive information with diplomacy and tact.

WORKING ENVIRONMENT:

  1. Work Conditions: Majority of responsibilities are performed in a normal office environment, on a deadline-oriented basis.
  2. Exposure to Hazards: May be exposed to situations where guest, visitor or associate behavior may create undesirable conditions.
  3. Physical Requirements: Normal office physical requirements that include sitting and keyboarding. Must also be able to stand for long periods of time and able to lift, at a minimum, 20 pounds.

OTHER: Must attend all mandatory meetings and departmental training and development sessions.
