Description:
The Division of Supervision and Regulation is seeking an exceptional Executive Assistant to provide comprehensive, high-level administrative support to a senior leader. This critical role requires a seasoned professional with demonstrated expertise supporting senior executives in fast-paced, complex regulatory environments.
Key Responsibilities:
โ€ข Provide comprehensive administrative support to the senior leader
โ€ข Manage complex calendar with multiple competing priorities, including meetings with Board Members, Presidents, regulatory agency officials, and industry representatives
โ€ข Coordinate and prioritize meeting requests, ensuring appropriate preparation time and strategic scheduling
โ€ข Anticipate senior leader's needs and proactively address administrative requirements
โ€ข Draft, edit, and proofread correspondence, memoranda, and presentations for internal and external audiences
โ€ข Coordinate communications with Board Members' offices, and other key stakeholders
โ€ข Manage sensitive and confidential information with absolute discretion
โ€ข Plan and coordinate high-level meetings, conferences, and briefings, including logistics, materials preparation, and follow-up
โ€ข Manage videoconference and hybrid meeting technology and logistics
โ€ข Prepare briefing materials, agendas, and background documents
โ€ข Arrange and coordinate participation in Board meetings, FOMC-related activities, and interagency meetings
โ€ข Track action items, deadlines, and follow-up requirements
โ€ข Arrange complex domestic and international travel, including detailed itineraries, security requirements, and expense reporting
โ€ข Coordinate travel for official Federal Reserve business, conferences, and international regulatory meetings
โ€ข Process travel authorizations and expense reimbursements in accordance with Federal Reserve policies
โ€ข Manage travel during crisis situations with flexibility and efficiency
โ€ข Process invoices, purchase requests, and budget tracking for the senior leader's office
โ€ข Assist with preparation of materials for Board presentations and decision memos
โ€ข Support division-wide events and initiatives as requested
Position/Skill requirements:
Experience Requirements:
โ€ข 10+ years of progressive senior administrative experience required, with at least 5 years supporting C-suite or director-level executives in government, financial services, or regulatory agencies
โ€ข Proven track record managing competing priorities in fast-paced, high-stakes environments
โ€ข Experience in confidential, regulatory, or policy-focused settings strongly preferred
โ€ข Familiarity with Federal government operations and protocols is highly desirable
โ€ข Core Competencies:
โ€ข Exceptional judgment and discretion with highly sensitive and confidential information
โ€ข Superior organizational skills with proven ability to anticipate needs and proactively address challenges
โ€ข Expert-level written and verbal communication skills, including ability to interact professionally with Board Members, senior officials, and external stakeholders
โ€ข Advanced proficiency in Microsoft Office Suite (SharePoint, Outlook, Word, PowerPoint, Excel, Teams)
โ€ข Ability to work independently with minimal supervision while exercising sound judgment
