Atlantic Bay Mortgage Group, recently voted #1 in the nation as the best large mortgage company to work for by National Mortgage News, is seeking a Senior Executive Assistant to support our President in our Virginia Beach, Virginia office to join our team. The Senior Executive Assistant is responsible for providing a high degree of confidentiality, enthusiasm and problem-solving capabilities while remaining flexible, versatile, and proactive.
What you'll be doing
  • Managing and maintaining complex calendars and coordinate appointments, meetings, and conference calls. Requires attention to detail as there is a high volume of appointments in a fast-paced environment.
  • Serving as the first point of contact for incoming requests, triaging and routing with good judgment.
  • Conserving and defending executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Monitoring and responding to executive's email with the ability to prioritize items needing attention. Suggesting and initiating appropriate response as directed.
  • Understanding how the department impacts the organization and works with multiple areas of the company to achieve company goals. An ability to grasp how seemingly uncorrelated activities impact the organization as a whole.
  • Drafting and sending professional communications on behalf of the President.
  • Tracking tasks and projects, surfacing blockers and keeping work moving forward.
  • Preparing and providing complex reporting information and dashboards as it pertains to achieving department goals. Absorbing significant amounts of information and be able to track, prioritize and communicate said information via various methods and as directed.
  • Assisting with event coordination and management of team events including scheduling group meetings and sending out invites, reserving location, arranging for catering/food service need, and assembling packets and binding materials.
  • Assisting with travel coordination needs.
  • Performing other duties as assigned.

What you'll bring
  • 5+ years of experience in an administrative, coordination, or customer-facing role required
  • Experience supporting a senior leader or executive in a professional setting required
  • Background in mortgage or financial services required
