Job Description
The Senior Administrative Assistant, Finance, will be responsible for providing high-level clerical support for the efficient operation of the Finance organization and general department support by performing a variety of clerical and administrative tasks. Main duties include assisting with the preparation of reports, presentations, managing department records, coordinating meetings and managing travel arrangements. As a representative of the company, the Senior Administrative Assistant will present a professional appearance and friendly demeanor.
Key Accountabilities:
  • Primarily responsible for the maintenance of compliance documentation for the Company's various financing agreements under the supervision of the CFO, the VP Finance and the Director, Treasury
  • Provide comprehensive support to the Finance organization by managing their calendars, scheduling meetings, and handling correspondence.
  • Collect requested data and information from various sources including email and other correspondence, meeting minutes and records, and other documents; prepares summaries of findings and/or other related written correspondence as requested.
  • Perform filing, coordination of signatures via adobe sign, correspondence, presentation editing, clerical document assistance, and other general clerical and secretarial duties as requested.
  • Conduct research (within skills and expertise) to assist with projects or inquiries.
  • Coordinate and arrange travel and accommodations, meetings, and appointments for various team members as requested.
  • Prepare agendas and schedules for meetings, conferences, and other assigned events; takes and distributes minutes or other notes as requested.
  • Respond to and resolves administrative inquiries and questions.
  • Maintain accurate electronic files of all departmental material.
  • Arrange catering needs for department meetings as requested.
  • Perform additional duties as assigned in an efficient and timely manner.

Qualifications:
Education, Certificates, and Licenses:
  • High school diploma required; associates degree or higher-level education preferred.

Experience:
  • 7+ years of experience in an administrative role; previous experience as an administrative assistant required. Industry related experience preferred.

Knowledge, Skills, and Abilities:
  • Extremely Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat (PDF's).
  • Strong communication skills (written and verbal).
  • Excellent interpersonal and customer service skills. Ability to function well in a high-paced and at times stressful environment.
  • Detail-oriented and highly organized with excellent multitasking skills.
  • Knowledge of, or ability to quickly acquire, familiarity with the roles and function of the assigned department, and any specifically applicable guidelines.
  • "Take initiative" mindset, proactive and problem-solving attitude, flexibility, team player-attitude.
  • Familiar with arranging international travel.
  • Basic understanding of office equipment.
