The Front Desk & File Clerk serves as a professional first point of contact for the corporate office while providing essential file management and administrative support. The position shares front desk coverage with another member of the administrative team several days each week, with remaining time dedicated to records management and departmental support.

Key Responsibilities

Front Desk & Reception

  • Serve as a primary point of contact for incoming calls, visitors, vendors, candidates, and employees.
  • Greet guests, answer and route calls, take messages, and direct visitors appropriately.
  • Assist candidates and visitors with check-in and provide professional, courteous customer service.
  • Coordinate front desk coverage and maintain a welcoming, professional reception area.

File & Records Management

  • Organize, maintain, and file physical and electronic company records.
  • Review files for completeness and accuracy and assist with file clean-up, archiving, and retention projects.
  • Support departments with file organization and maintain confidentiality of sensitive information.

Administrative & Office Support

  • Manage daily mail and package distribution.
  • Provide administrative and clerical support, including data entry, document preparation, filing, scanning, and special projects.
  • Coordinate rental car and travel reservations as requested.
  • Provide Administrative Coordinator/Runner coverage and perform other duties as assigned.
