Director of Events and Member Services

Position Summary

Responsible for planning, coordinating, and executing a wide range of private club events, ensuring exceptional experiences for members and guests. This individual will oversee the entire event process, from initial consultation to post-event feedback, while maintaining the club's standards of excellence. The Events Manager will also work collaboratively with other departments to maximize revenue, promote member engagement, and uphold the club's reputation as a premier destination for social and professional gatherings.

Key Responsibilities

Event Planning & Coordination

  • Plan and execute all club events, including member social gatherings, corporate meetings, weddings, and private celebrations.
  • Meet with members, committee chairs and clients to understand their event needs, preferences, and budget.
  • Develop detailed event proposals, timelines, and floor plans.
  • Coordinate with internal teams, including Food and Beverage, Culinary and Facilities to ensure seamless event delivery.
  • Source and manage external vendors, including entertainment, florists, AV providers, and decorators.
  • Work closely with the Food & Beverage Director and Executive Chef to curate tailored menus.
  • Partner with the Membership Director to integrate events that support member retention and recruitment efforts.
  • Conduct weekly function sheet meetings to share and discuss details of scheduled events.

Member Services Team

  • This position is responsible for the management of the youth member Gameroom including hiring, training, and scheduling of attendants.
  • Work closely with Youth Committee Chair in providing creative and interactive programming for our younger members in the Game Room.
  • Supervise and manage front desk Member Services personnel including hiring, training, and scheduling.

Member Engagement

  • Serve as the primary point of contact for members and clients booking private or club events.
  • Design creative and innovative events that enhance member satisfaction and engagement.
  • Actively solicit feedback from members to refine and improve event offerings.
  • Promote events through club newsletters, emails, social media, and other communication channels in collaboration with the marketing team.

Budgeting & Financial Management

  • Prepare event budgets, ensuring alignment with financial goals.
  • Monitor event profitability by managing costs and negotiating vendor contracts.
  • Provide post-event financial summaries and recommendations for future improvements.

Logistics & Compliance

  • Oversee all event logistics, including setup and execution.
  • Ensure compliance with club policies and safety regulations.
  • Maintain accurate event records and documentation.

Qualifications

  • Experience in event planning, preferably within a private club, hospitality, or luxury environment.
