Position Summary

The Administrative Assistant, Engineering & Operations exists to improve the efficiency, organization, and execution of the Engineering & Operations Department by providing administrative, project, financial, and operational support. The position ensures projects, documentation, logistics, and departmental administrative functions are completed accurately and on time, allowing managers to focus on leadership, client relationships, strategic planning, employee development, and overall departmental performance. Department managers retain full accountability for all work performed within their departments; this position provides administrative support to help ensure successful execution.


The ideal candidate will be proactive, adaptable, and capable of managing multiple priorities while maintaining accuracy and professionalism in a fast-paced engineering and utility services environment.


Primary Roles & Responsibilities

  1. Department Administrative Support
    • Serve as the primary administrative resource for the Engineering & Operations Department by ensuring efficient day-to-day administrative support and coordination.
  2. Project Administration
    • Coordinate administrative activities that support project execution from initiation through closeout, ensuring documentation, schedules, and records are complete and accurate.
  3. Operational Coordination
    • Coordinate departmental logistics, resources, travel, meetings, communications, and operational support to improve efficiency across Engineering and Operations.
  4. Financial & Business Process Support
    • Support departmental financial processes by assisting with timesheets, invoices, billing documentation, expense tracking, and other administrative business functions.
  5. Records, Compliance & Documentation Management
    • Maintain accurate project, regulatory, fleet, equipment, and operational records while ensuring compliance with company and client documentation requirements.
  6. Asset & Resource Administration
    • Manage administrative processes related to company vehicles, equipment, technology assets, and departmental inventories.
  7. Continuous Improvement & Special Projects
    • Support departmental initiatives by identifying administrative process improvements, implementing standardized procedures, and assisting with special projects as assigned.


Qualifications:


Required

  • High School Diploma or GED required.
  • Minimum of 3 years of administrative support experience.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
  • Strong organizational, problem-solving, and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines with minimal supervision.
  • High attention to detail and commitment to accuracy.


Preferred

  • Associate degree in Business Administration or a related field.
  • Experience in engineering, utility, construction, or operations environments.
  • Familiarity with Futura or similar utility/project management systems.
  • Experience with invoice processing, project documentation, or property acquisition support.

  • Ability to coordinate multiple projects and administrative processes simultaneously.

  • Ability to maintain confidentiality of business and personnel information.
  • Proficiency in document management and recordkeeping.

Physical Requirements

  • Prolonged periods of sitting and working at a computer.
  • Occasional lifting and carrying of office materials up to 25 pounds.
  • Ability to move throughout the office to support operational activities.


Working Conditions

  • Onsite position located in Orangeburg, South Carolina.
  • Standard office environment with frequent interaction with engineering, field operations, project management, and administrative staff.
  • Four-day work week schedule: Monday through Thursday, 10 hours per day.
