ESTIMATING ASSISTANT/JR. PROJECT COORDINATOR

Golden State Boring and Pipe Jacking Inc., a well-established trenchless construction firm is seeking a full-time Jr. Estimating Assistant/Jr. Project Coordinator, with a minimum of two years experience in the construction industry. We offer Company-paid employee health, dental and vision insurance, two-weeks paid vacation after one year of continuous employment and 9 (nine) paid holidays.

Minimum Qualifications:

An Associate’s Degree, preferably in Business Administration, Accounting, Construction or a related field is preferred. Individuals with applicable hands-on practical experience in the Construction Industry in lieu of formal education will also be considered.

Computer efficiency with Windows 10 and current versions of Microsoft Outlook, Word, Excel and Power Point

The ability to effectively and pleasantly interface via telephone, e-mail, text messaging and in person with co-workers, clients, vendors and Company management

Must be able to work Mondays through Fridays on a dependable basis, with occasional overtime

A valid California driver’s license, with a good driving record

Excellent English writing, reading and verbal skills

Duties and Responsibilities:

Support and assist the Company’s Estimators as follows:

  • Updating and distributing the Estimating calendar

  • Update the Company’s website with a list of the projects bidding

  • Creating files on the shared server for the Estimating Department

  • Creating and maintaining the bid binder

  • Sending RFP’s to vendors and subcontractors

  • Contacting subs/vendors for pricing for all projects bidding

  • Saving all bid documents, drawings, specs., addendums and quotes on server

  • Filing all estimating projects’ documentation and drawings

  • Provide job cost analysis when requested

  • Fax/E-mail No Bid Invitation responses when applicable

Work closely with the Office Manager/Senior Project Coordinator and Project Managers to ensure that all documentation and administrative matters relative to active jobs flow timely, efficiently, and safely. Doing so includes, but is not limited to performing the following tasks:

  • Create Accounting Job Folders for each newly opened project

  • Ensure that all job folders and related files are properly set up, kept complete, are up-to-date, and are properly filed

  • Prepare and maintain IIPP & MSDS Binders

  • Print spec books

  • Prepare submittals and update the submittal logs

  • Assist with preparing and submitting close-out documents as needed

  • Pull permits from the city as needed

  • Manage records and documentation related to safety and training

  • Issue purchase orders when requested

  • Be back-up on answering the Company’s telephones

  • Perform miscellaneous duties as Requested by Management
