Job Overview

Ebenezer is looking for an Administrative Assistant to join our senior cooperative location at Calvary Center Cooperative in Golden Valley, MN! This position will be responsible, under the supervision of the Property Manager, to assist in the overall office duties of the community and meet the programming needs of the Condominium Owners.
This administrative schedule includes;

  • 40 hours every two weeks
  • Part time; Day shift
  • No weekends

Responsibilities:

  • Serves as a support for clerical tasks in assisting with daily administration of the Condominium:

    • Assist with financial duties: enter data related to HOA payments, prepare monthly HOA statements, assist with accounts payable as assigned.
    • Assist with preparing documents as necessary for condominium sales (Dues Current letters, Resale and HOA document books).
    • Monthly minutes for committees.
    • Order office supplies and monitor inventory.
    • Covers receptionist duties and assists with reception office area as needed
  • Serves as clerical support to the Board of Directors:

    • Attends all Board meetings.
    • Takes and complies Board meeting minutes.
    • Distribute Board and Committee Meeting packet and materials.
    • Organize all aspects of Board meetings/retreats/luncheons/events
  • Serves as clerical support to the Board of Directors:

  • Coordinates with the Social Committee on ongoing and new programs designed to meet the interests of the residents (if applicable to location):

    • Provides resources for events and activities.
  • Maintains professional and accurate documentation of Resident, Committee documentation and Building files:

    • Accurate detail of past and current projects.
    • Familiarity with building contractors and vendors, i.e. assists with collection of W9 and Certificates of Insurance.
    • Maintains binders.
    • Maintains a high level of confidentiality when it pertains to Resident files.
    • Assists with and maintains Resident Database.
    • Assigns and oversees garage stall, parking lot leasing and process billing (if applicable to location).
    • Create and update telephone book annually (if applicable to location).
  • Performs other duties required by the specific needs of the property:

    • Responds to medical, maintenance, fire and security emergencies per building policy.
    • May conduct tours and assist in marketing the community/location.

Required Qualifications:

  • 1 year of experience with property management

Preferred Qualifications:

  • Associate of Arts
  • 3 years of previous experience
  • Minnesota Real Estate License
