Job Title: Litigation Legal Administrative Assistant

Location: Century City CA 90067 OR Irvine CA 92614

Salary/Payrate: $90K-$110K annually bonus and AWESOME benefits!!!

Work Environment:  Hybrid (1 day WFH per week)

JOB DESCRIPTION


This position will virtually support attorneys across the firm in delivering the highest level of service to internal and external clients. As a contributing team member, the Litigation Legal Administrative Assistant, is proactive in balancing multiple work demands, taking personal responsibility for the quality and timeliness of their own and the team’s work product, and maintaining client and firm confidentiality. The Litigation Legal Administrative Assistant knows who the attorneys are, their personal preferences and work styles.

This role has a hybrid working arrangement. Potential candidates must live within commuting distance to the Irvine CA or Century City offices to be onsite 4 days per week. In this role, you will report to the Director of Support Services.



Essential Functions

  • Create, edit, format and proofread documents, spreadsheets and presentations.
  • Prepare legal documents for court filing and electronic filing.
  • Promptly respond to attorney requests via written, verbal or electronic communication.
  • Effectively and efficiently manage work and information requests, including document management, scheduling and coordination of firm resources.
  • Help attorneys and team members apply new technology to improve efficiency and quality of work product.
  • Hands-off work with detailed instructions to team members to prevent any compromises in work product.
  • Smoothly handle multiple demands and shifting priorities across all firm offices.
  • Maintain Extranet data and FTP sites for attorneys and clients.
  • Perform other responsibilities as assigned.
  • Work additional hours as needed to fulfill job requirements.

Skills/Qualifications

  • 7+ years of legal secretarial and customer service experience.
  • Notary Public preferred.
  • Strong communication skills (verbal and written) with the ability to develop positive working relationships (in-person and virtually).
  • Meticulous attention to detail and accuracy.
  • Ability to manage multiple tasks with effective organizational skills.
  • Proven problem solving, critical thinking, and decision-making skills.
  • Unquestioned integrity and professionalism.
  • Ability to communicate respectfully.
  • Ability to provide support to attorneys virtually.
  • Ability to work under pressure and deliver accurate results.
  • Ability to process and receive detailed instructions and information through oral and written communication.
