Rental Desk/Service BDC Clerk

Are you the person who can walk into a room and make it feel a little more welcoming? Do you genuinely enjoy talking with people, helping customers, and making someone's day a little easier?

We are looking for a bubbly, outgoing, friendly, and customer-focused Rental Desk Clerk / Service BDC team member to join our team. This is a fast-paced, people-focused hybrid position. The primary function of this role throughout the week is managing the rental vehicle process and providing an exceptional customer experience. The position will also perform Service BDC functions throughout the week and will serve as the primary Service BDC team member on Saturdays.

As the Rental Desk Clerk, you will manage the rental process from customer check-in through vehicle return. This includes completing rental agreements and required documentation, processing payments, coordinating rental vehicle availability, communicating with customers, documenting vehicle condition, and ensuring the rental process runs smoothly from start to finish.

Throughout the week, you will also perform Service BDC functions, including answering inbound service calls, making outbound calls, scheduling service appointments, following up with customers, and helping keep the service department's appointment schedule full. On Saturdays, the focus of the position shifts primarily to Service BDC, supporting the service department's customer communication and appointment scheduling needs.

This position also helps create a great experience for everyone who walks through our doors by keeping the nearby lobby coffee and snack bars stocked, clean, and ready for customers and employees. We are looking for someone who takes pride in the little things - someone who notices when the coffee is empty, a customer needs help, or an area needs a little attention, and takes action.

This is a busy position that requires excellent phone skills, strong organization, and the ability to prioritize competing tasks while taking direction from multiple sources. The ability to quickly shift between rental, Service BDC, customer service, and administrative responsibilities is essential.

Rental Desk / Service BDC Responsibilities:

  • Provide a warm, enthusiastic, and welcoming experience for every customer.
  • Manage the rental vehicle process from customer check-in through vehicle return.
  • Complete rental agreements, paperwork, and required documentation accurately.
  • Explain rental terms, policies, vehicle features, and basic rental procedures to customers.
  • Coordinate rental vehicle availability and communicate effectively with dealership team members.
  • Process rental payments and maintain accurate transaction records.
  • Inspect rental vehicles with customers and document vehicle condition as required.
  • Maintain accurate rental records and update information in company systems.
  • Answer incoming rental and service calls using excellent phone etiquette.
  • Schedule service appointments and assist customers with service-related questions.
  • Make outbound service calls for appointment scheduling, follow-up, maintenance reminders, and other service-related needs.
  • Follow up with customers as directed to help maintain customer relationships and service appointment opportunities.
  • Accurately document customer interactions, appointments, and follow-up activity in company systems.
  • Serve as the primary Service BDC team member on Saturdays.
  • Handle multiple phone calls, customer interactions, and administrative tasks while maintaining a friendly and professional demeanor.
  • Prioritize tasks and respond appropriately to changing customer and dealership needs.
  • Take direction from multiple dealership team members and effectively manage competing priorities.
  • Keep the nearby lobby coffee and snack bars stocked, clean, and ready throughout the day.
  • Monitor coffee, cups, condiments, snacks, and other customer amenities and replenish supplies as needed.
  • Maintain a clean, welcoming, and presentable lobby and customer environment.
  • Notice and address customer-area needs before they become a problem.
  • Notify the appropriate team member when supplies need to be ordered or replenished.
  • Adhere to all company policies, procedures, and safety standards.
  • Perform other duties and assist with other dealership needs as assigned.

Education:

  • High school diploma or GED preferred.

Experience:

  • Customer service experience preferred.
  • Rental, automotive, hospitality, or dealership experience is a plus.
