Job description

UTA seeks a Business Affairs Assistant in the Publishing Business Affairs department for our New York office. You will provide comprehensive administrative support to two Business Affairs Executives. The Business Affairs Assistant will handle a variety of administrative duties and will be integral to the contract administration process. Candidates must have experience in a fast-paced environment, the ability to manage multiple projects at a time, experience in handling administrative duties, and have an interest in book publishing.
The salary range for this role is $23.00 to $25.00/hour commensurate with experience and skills.
What You Will Do
  • Phone management - answering and transferring calls, scheduling & coordinating conference calls (including multi-party, multi-time zone conf calls).
  • Calendar management - daily calendar management; scheduling and coordinating meetings, both in-office and virtual.
  • Managing the contract administration process, including tracking deals and contracts, processing contracts, and maintaining of contracts files.
  • Reading and understanding basic publishing contract language (e.g., confirming the delivery date for a work or the territories granted to publisher).
  • Researching existing agreement(s) database to find previous relevant agreements to serve as precedents/templates.
  • Assisting in proofing contracts and correspondence.
  • Based on expertise and capabilities, opportunity to review and negotiate basic amendments and publishing agreements under the supervision of an Executive.

What You Will Need
  • JD degree preferred or bachelor's degree with requisite experience.
  • Active New York Bar license or other state preferred.
  • Previous experience within a talent agency, literary agency, or publisher strongly preferred.
  • Able to review and understand contracts.
  • Able to work effectively with people at different levels, internally, and externally (including agents, senior executives, executives/business affairs, writers and other agency clients, attorneys, other in-house divisions, as well as other assistants and coordinators).
  • Capable of managing multiple projects simultaneously with minimal supervision.
  • Able to operate in a timely manner, with careful attention to detail in a fast-paced, high-volume environment.
  • Excellent communication skills, both written and verbal.
  • Employs a problem-solving approach and is highly organized.
  • General business knowledge and interest in the publishing business.
  • Strong proficiency in Excel, PowerPoint, Adobe, Outlook, Word, and strong research skills.
