Property Manager Assistant

We are seeking a highly organized, proactive, and detail-oriented Property Manager to oversee the day-to-day operations and financial performance of assigned residential properties. The ideal candidate will be a strong communicator, problem-solver, and possess a thorough understanding of property management principles and best practices.


Property Operations & Maintenance:

  • Oversee and coordinate all aspects of property operations, ensuring properties are well-maintained, safe, and aesthetically pleasing.
  • Manage and supervise maintenance staff and/or external vendors, ensuring timely and quality completion of repairs and maintenance requests.
  • Develop and implement preventative maintenance schedules to minimize costly repairs and ensure asset preservation.
  • Conduct regular property inspections to identify maintenance needs, safety hazards, and lease compliance issues.
  • Obtain bids and negotiate contracts with vendors for services such as landscaping, cleaning, security, and repairs.
  • Respond promptly and professionally to tenant maintenance requests and concerns.
  • Manage emergency situations effectively and implement necessary protocols.
  • Ensure compliance with all applicable local, state, and federal laws and regulations related to property management, safety, and fair housing.


Tenant Relations & Leasing:

  • Develop and implement effective leasing strategies to maintain high occupancy rates.
  • Market vacant units through various channels, including online listings, signage, and community outreach.
  • Screen prospective tenants thoroughly, including background checks, credit checks, and income verification.
  • Prepare and execute lease agreements in accordance with company policies and legal requirements.
  • Build and maintain positive relationships with tenants, addressing their concerns and fostering a sense of community.
  • Enforce lease terms and handle tenant violations appropriately.
  • Manage the move-in and move-out process, including property inspections and security deposit accounting.

Administrative & Compliance:

  • Maintain accurate and organized property records, including tenant files, leases, maintenance logs, and financial documentation.
  • Prepare and distribute tenant notices and communications.
  • Stay updated on relevant legislation and industry trends.
  • Ensure compliance with safety regulations and implement emergency procedures.
  • Assist with insurance claims and legal proceedings as necessary.
  • Utilize property management software effectively for record-keeping, communication, and reporting.

Qualifications:

  • Strong understanding of property management principles, leasing practices, and relevant laws and regulations (e.g., Fair Housing).
  • Excellent communication, interpersonal, and negotiation skills.
  • Strong organizational, time management, and problem-solving abilities.
  • Proficiency in property management software (e.g., Yardi, AppFolio, Buildium, RentReady).
  • Ability to work independently and as part of a team.
  • Ability to handle stressful situations and resolve conflicts effectively.
  • Valid driver's license and reliable transportation may be required.

Preferred Qualifications:

  • Experience managing multi-family residential properties.
