Job description

You are applying for a position through Medix, a staffing agency. The actual posting represents a position at one of our clients.
Contract position: 13 week duration
Schedule: 9:30am-6pm MST
Pay: $21.64/hour
Job Summary
Our client is seeking a dedicated Referral Coordinator responsible for managing referrals from primary providers, processing information within Salesforce, and handling both inbound and outbound calls with the goal to schedule visits with therapists. The role requires efficiency in processing insurance information and data entry, ensuring accuracy and compliance with procedural guidelines.
Responsibilities
  • Team Dynamics: Work closely within a tight-knit team covering 3 primary roles, remaining flexible to support different functions as needs fluctuate.
  • Patient Interaction: Field a high volume of inbound and outbound calls (up to 60-70 calls per day; 55-60 on Mondays, ~30 Tuesday-Friday) from patients referred by primary Providers.
  • Quality Care: Answer general questions, process insurance information, and schedule appointments, prioritizing a supportive and unhurried patient experience over simply getting off the phone.
  • Workflow Management: Process referrals and complete patient accounts accurately in Salesforce.
  • Multi-Channel Communication: Actively monitor internal communication channels (e.g., Slack) for real-time team support and guidance while simultaneously managing patient calls and system workflows.
  • Primary Goal: Successfully convert referrals into scheduled visits with a therapist.

Metrics or KPIs
  • Team: 40% for same-day scheduling
  • Team: 60% Day 3 scheduling
  • Note: Individual metrics are being developed, but performance is evaluated on a balance of achieving scheduling goals while maintaining our "quality over speed" patient care standards.

Must Haves (Required Skills & Attributes)
  • Patient-Centric Mindset: A genuine commitment to empathetic service. You do not rush callers; you understand that some clients require patience and active listening.
  • Learning Agility & Tech Adaptability: Highly capable of learning complex workflows and navigating multiple systems independently after training. Must be able to comfortably multitask (e.g., talk to a patient, navigate software, and check internal chats simultaneously).
  • High Coachability: Receptive to real-time feedback and guidance. Approaches the natural learning curve of a new role with patience, proactively asking questions rather than shutting down.
  • Emotional Resilience & Stress Tolerance: Capable of managing high call volumes and training demands professionally. Must be emotionally equipped to consistently handle highly sensitive behavioral health information (e.g., trauma, SA) while maintaining composure and professional boundaries.
  • Adaptability: A true team player who is flexible with day-to-day changes and willing to cover other roles on the team as needs occur.
  • Schedule Flexibility: Open to picking up overtime if needed.
  • Phone Comfort: Excited about being on the phones and highly comfortable managing a continuous queue of inbound calls.
  • Core Competencies: Detail-oriented, accurate, efficient, and experienced with data entry.
  • Independent Problem Solving: Strong critical thinking skills; able to think outside the box to assist patients rather than acting like a "bot."
  • (Note: High School diploma required)

Nice to Have Skills
  • Experience with Salesforce
  • Previous remote work experience
  • Background in behavioral health
  • Experience working with PHI (Protected Health Information)
  • Familiarity with VA software (HSRM)
  • EMR/EHR (Electronic Medical/Health Record) experience

Benefits
  • Paid Sick Leave (Medix provides paid sick leave according to state and local sick leave ordinances).
  • Health Benefits / Dental / Vision (Medix offers 6 different health plans: 3 Major Medical Plans, 2 Fixed Indemnity Plans (Standard and Preferred), and 1 Minimum Essential Coverage (MEC) Plan. Eligibility for health benefits is based on verifying that an average of 30 hours per week during the first 4 weeks of the work assignment has been met. • 401k (Eligible on the first 401k open enrollment date following 6 consecutive months on assignment. 401k Open Enrollment dates are 1/1, 4/1, 7/1, and 10/1).
  • Short Term Disability Insurance.
