Midwest Equity Investors is seeking a Property Management Coordinator to support operations across our commercial real estate portfolio. This is an entry-level role centered on operational support-- helping ensure properties are maintained to institutional standards.

Position Summary

The position will serve as a key liaison between the company's Property Management team, contractors, maintenance vendors, consultants, and ownership. The Property Management team, of which you would be a part, is responsible for assisting with coordinating repairs and improvements across the portfolio, overseeing vendor performance, reviewing project scopes and bids, conducting property inspections, and helping ensure company assets are maintained to Midwest Equity standards. The ideal candidate combines strong organizational skills with practical knowledge of construction, maintenance, and property operations. While not a project manager or construction manager role, this individual will act as an owner's representative on many maintenance, repair, and improvement projects.

Key Responsibilities

  • Serve as the primary point of contact between vendors, contractors, consultants, property managers, and ownership.
  • Conduct regular inspections of owned properties and assets in the acquisition pipeline in our footprint that will require some travel to high-income suburban locations.
  • Identify maintenance issues, deferred maintenance items, safety concerns, and capital improvement opportunities.
  • Assist with obtaining competitive pricing and bids for maintenance, repair, and improvement projects.
  • Review contractor proposals, scopes of work, and pricing for completeness and accuracy.
  • Assist in evaluating repair options, project priorities, and vendor recommendations.
  • Coordinate project execution and monitor contractor performance.
  • Track project progress, budgets, timelines, and completion status.
  • Verify quality of completed work and ensure vendor accountability.
  • Support due diligence and property condition assessments during acquisitions.
  • Assist with preventative maintenance planning and vendor management.
  • Maintain project documentation, inspection reports, and operational records.
  • Utilize AI, technology, and automation tools to improve reporting, project management, vendor coordination, and operational efficiency.

Qualifications

Required

  • 1+ years of experience in property management, facilities, construction, maintenance, real estate operations, or a related field.
  • Strong organizational and project coordination skills.
  • Ability to travel periodically to markets with owned assets.
  • Excellent communication and vendor management skills.
  • Valid driver's license and reliable transportation.

Preferred

  • Experience reviewing construction bids, scopes of work, and contractor proposals.
  • Working knowledge of commercial building systems, construction practices, and maintenance operations.
  • Experience overseeing vendors, maintenance projects, or capital improvement work.
  • Familiarity with property inspections and property condition assessments.
  • Experience utilizing AI and technology platforms to improve operational performance.

Ideal Candidate

The successful candidate possesses strong common sense, practical problem-solving abilities, and a proactive ownership mindset to look at each property as if it were their own. They would be willing to pitch in to address any minor concerns onsite, but they are otherwise comfortable driving to a property and inspecting/evaluating the regular performance of day-to-day vendors, walking a roof, reviewing a contractor proposal, discussing repairs with a vendor, and presenting recommendations to management. Construction knowledge or past experience is highly valued, but equally important is the ability to identify issues, coordinate solutions, and drive projects to completion.
