Office Administrator

Chattanooga, TN
Full-Time Position

Ascend Air Solutions is a growing HVAC company in Chattanooga, and we are looking for a dependable, organized, and customer-focused Office Administrator to join our team.

This position plays an important role in keeping our day-to-day operations running smoothly. We are looking for someone comfortable working in a fast-paced office, who enjoys interacting with customers, and can stay organized while managing multiple priorities.

Responsibilities:

·         Answer incoming phone calls and provide excellent customer service

·         Make outbound customer service and follow-up calls

·         Schedule service calls and appointments

·         Dispatch HVAC technicians and coordinate daily schedules

·         Prepare and process customer invoices

·         Assist with accounts receivable and basic bookkeeping tasks

·         Maintain customer and service records

·         Enter and organize information using Microsoft Excel

·         Perform tasks within QuickBooks

·         Communicate with technicians, customers, vendors, and management

·         Assist with general administrative and office responsibilities as needed

Qualifications

·         Experience with Microsoft Excel is required

·         Experience with QuickBooks is required

·         Strong organizational and time-management skills

·         Excellent phone and customer service skills

·         Comfortable learning new software and technology

·         Ability to multitask and adjust priorities throughout the day

·         Strong attention to detail and accuracy

·         Dependable, positive, and willing to help wherever needed

·         Previous experience in an HVAC, plumbing, electrical, construction, or service-based business a plus, but not required
