We are seeking an enthusiastic and detail-oriented Administrative Assistant to support an archival project. This opportunity offers the chance to contribute to an important initiative involving the organization, digitization, and preservation of archival materials.

Responsibilities:
  • Complete the project, including digitization of photos, generation of social media content, and advertising availability of new content.
  • Research and identify archival materials available online, including using AI tools to assist with pre-existing analog finding aids.
  • Create and populate a SharePoint library for archival resources.
  • Organize, describe, and catalogue archival collections and materials.
  • Migrate content from shared drives into the SharePoint library.
  • Clean up and organize reference images from DbText and the network drive.
  • Continue the naming and organization of master images within the Archives SharePoint Resource Library.
  • Assist with ongoing archival research, digitization, and records organization projects.
 
Requirements:
  • 3+ years of experience in an archival setting.
  • Experience working with archival collections, including the arrangement, description, digitization, and cataloguing of archival materials.
  • Experience building and maintaining SharePoint libraries, with familiarity with archival research and resource organization.
  • Strong organizational skills and excellent attention to detail, particularly when managing and naming large volumes of digital files and archival materials.
  • Experience with digitization projects and organizing digital images and archival resources.
  • Strong research skills, including the ability to locate and assess archival information online.
  • Ability to work independently while managing multiple project priorities and deadlines.
  • Strong written communication skills and the ability to create clear and engaging content for social media and other communications.
  • Familiarity with AI tools and their application to archival research and finding aids is considered an asset.
  • Proficiency with Microsoft SharePoint and other digital file-management systems.
