Job description

The Membership/Database Specialist is an integral part of a team-oriented and results driven area of the  Al Wooten Jr. Youth Center. The position is responsible for the accurate inputting of member information and the tracking of the programs and outcomes that the students participate in. The specialist is responsible for supporting and performing the organization’s membership database                                      functions utilizing Kid Trax membership program and utilizing the Apricot system to adhere to data entry and tracing of outcomes and participation of students. To successfully fulfill this role, the Specialist should be highly detailed orientated with a critical degree of accuracy regarding data entry. The role also requires heavy computer and office-based responsibilities.
HOURS: Mon-Fri. 1pm-5pm. Some Saturdays may be required with notice 
RESPONSIBILITIES
 
·       Support the organization’s strategic use of data to further the goals and processing of the membership objectives.
·       Collaborate with program staff to ensure that all data relating to the programs and activities that youth are participating in are       captured in membership and database programs 
·       Ensure that data that is being inputted is accurate
·       Provide reports to directors and other staff when instructed to. Information should be able to be explained with appropriate details 
·       Act as an internal trainer with membership and database systems in tools when necessary
·       Assess and update database documentation processes and procedures when necessary 
·       Invite and build upon the ideas and input of others
·       Communicate with parents and assist them in the using of the membership system when necessary 
·       Establish proper policies and procedures are put in place that allows trouble shooting when membership and database systems are not functioning properly 
·       When instructed, attend community and agency events to promote the Al Wooten Jr Youth Center and the programs and activities that are provided to the youth and their families
·       Supports basic office duties and responsibilities including answering office phone calls and customer service functions
QUALIFICATIONS 
 
·       1-3 years of related experience or equivalent combination of education and experience. Bachelor’s degree preferred
·       1-3 years of applicable database experience required; hands on experience with membership base and or database programs preferred
·       Exceptional organizational, analytical and problem-solving skills
·       Excellent interpersonal and customer relations skills, including the ability to provide technical support to others of all levels and backgrounds 
·       High level of discretion, professionalism and confidentiality required 
·       Demonstrated ability to work both as a team member and independently with minimal supervision in a time sensitive environment
·       Proficiency in utilizing Microsoft Office 365 and Google platform utilities 
·       Excellent oral and written communication skills with the ability to deliver clear and effective messages to all staff members, students and their families
