Position Description:

We are seeking a highly organized and detail-oriented Payroll Coordinator to join our accounting team. Reporting to the Managing Director of Accounting, this position is responsible for accurately processing and distributing biweekly payroll for approximately 150–250 employees.

The Payroll Coordinator will work closely with Human Resources, Site Managers, and Operations to ensure payroll is processed accurately, on time, and in compliance with applicable state and federal wage laws. This role is ideal for someone who enjoys working with numbers, maintaining confidential employee information, and managing multiple processes and deadlines in a fast-paced environment.

In addition to payroll responsibilities, the Payroll Coordinator will support the administration and tracking of employee uniforms and company equipment.

Responsibilities:

  • Process, review, and submit biweekly payroll for approximately 150–250 employees using the company’s HRIS/payroll system.
  • Ensure payroll is accurate, timely, and compliant with applicable state and federal wage laws.
  • Review timekeeping, attendance, earnings, deductions, and other payroll inputs for accuracy.
  • Research and resolve payroll discrepancies, adjustments, and employee pay inquiries.
  • Maintain accurate employee payroll records, including:
    • New hires and terminations
    • Position and pay-rate changes
    • Direct deposit information
    • Tax information
    • Deductions and other payroll changes
  • Assign and maintain appropriate pay rates based on employee position and location.
  • Maintain the wage rate program and ensure proper wage allocation for each payroll cycle; conduct annual reviews and updates.
  • Process direct deposit changes, withholding changes, commissions, special payments, deduction changes, and third-party sick pay.
  • Maintain employee sick, vacation, and leave accruals.
  • Administer and ensure compliance with court-ordered garnishments and payroll deductions.
  • Generate routine and ad hoc payroll, labor, wage, and employee reports for authorized stakeholders.
  • Maintain organized, accurate, and confidential payroll documentation and records.
  • Assist employees with payroll-related questions, including payroll app functionality.
  • Assist the Director of Accounting with tax filing discrepancies, billing, accounting duties, and reports using accounting and payroll software.
  • Manage and maintain employee uniform inventory throughout the employee lifecycle, including issuing reports as needed.
  • Track and maintain company equipment inventory and provide reports as needed.
  • Perform other duties and responsibilities as assigned.

Qualifications & Experience:

  • 2+ years of experience working with payroll and HRIS systems.
  • 2+ years of payroll experience in a mid-sized organization.
  • Proficiency with Microsoft Office, including Excel.
  • Working knowledge of state and federal wage and payroll laws.
  • Strong attention to detail and commitment to accuracy.
  • Excellent organizational and time-management skills.
  • Ability to maintain confidentiality when handling sensitive employee and payroll information.
  • Ability to manage multiple priorities, processes, and deadlines effectively.
  • Strong communication and problem-solving skills.
