What is an apartment locator?

Apartment locators are professionals who help individuals find rental apartments that meet their specific needs and preferences. They work by gathering information about a client’s budget, desired location, and amenities, then searching available listings to match those criteria. Typically, apartment locators have access to databases and industry contacts that allow them to find options not easily available to the public. Their services are often free to renters, as they are usually compensated by property owners or management companies. This makes apartment locators a valuable resource for simplifying the apartment search process.

What does an apartment locator do?

As an apartment locator, your job is to help renters find a rental property that meets their needs. In this role, you may work with real estate owners to find a good match, explain details about the rental location to the client, help evaluate the terms of a lease, and otherwise help people evaluate their choices and make informed decisions. Apartment locators frequently spend time updating listings and collections to ensure that any property advertised to a client is available for rent. In some cases, you may also help an apartment get a listing on popular networks. While many apartment locators focus exclusively on this job, some also work in other aspects of real estate and help people buy or sell homes, empty lots, and other pieces of real estate.

What are the key skills and qualifications needed to thrive as an apartment locator, and why are they important?

To thrive as an Apartment Locator, you need a strong knowledge of the local real estate market, excellent sales abilities, and typically a real estate license. Familiarity with property listing databases, CRM software, and mapping tools is often essential. Outstanding communication, active listening, and relationship-building skills help set top performers apart. These skills are crucial for effectively matching clients with suitable properties and ensuring a smooth rental process.

How does an apartment locator typically interact with clients and property managers throughout the leasing process?

An Apartment Locator serves as a liaison between clients seeking rental properties and property managers with available units. They begin by assessing clients’ needs and preferences, then curate and present suitable listings. Throughout the process, they coordinate property tours, communicate regularly to answer questions, and negotiate lease terms on behalf of clients. Maintaining strong relationships with property managers is essential, as it ensures up-to-date knowledge of availability and potential deals, making collaboration and clear communication key skills in this role.

What is the difference between Apartment Locator vs Leasing Agent?

AspectApartment LocatorLeasing Agent
CredentialsNone required, some may have real estate licensesReal estate license often required
Work EnvironmentTypically independent, contract-based, or part-timeOffice and property visits, client interactions
Industry UsageUsed by rental agencies, online platforms, and brokersEmployed directly by property management or leasing offices
Search & Comparison IntentPeople seeking rental assistance or locating apartmentsClients looking to lease or rent apartments

While both roles assist clients in finding rental properties, an Apartment Locator primarily helps clients find suitable apartments, often working independently or with agencies. A Leasing Agent typically works directly for property management companies, handling leasing processes on-site. The roles overlap in client interaction and industry usage, but differ mainly in employment setting and licensing requirements.

Job description

Help People Find Their Next Home.

At Smart City, Apartment Locators work one-on-one with renters to help them find apartments they'll love.

You'll spend your days talking with Houston clients, touring properties, building personalized recommendations, and guiding people through one of the biggest decisions they'll make all year.

If you enjoy helping people, thrive in a fast-paced environment, and like variety within your work, you'll fit right in.

Average annual earnings for successful Apartment Locators range from $70,000-100,000+, with top performers earning more.

What makes this role different?

Unlike traditional real estate, you won't spend your time cold-calling or searching for clients to eventually build a sustainable pipeline over a few years. Our marketing team generates thousands of renter leads each month, so you can focus on what actually matters: building relationships and helping clients find the right home.

You'll enjoy this role if...
  • You're naturally outgoing and enjoy meeting new people.
  • Friends ask for your advice before making big decisions.
  • You like staying busy and juggling multiple conversations.
  • You're motivated by goals and enjoy seeing your effort pay off.
  • You actually care about creating meaningful relationships with other humans.
What you'll actually do
  • Guide clients from the first conversation to signed lease.
  • Communicate by phone, text, and email.
  • Build personalized apartment recommendations.
  • Tour apartments throughout Houston
  • Work closely with leasing partners.
  • Celebrate a lot of move-in days.
Why Smart City?
  • Lead generation, prequalification, and invoicing are done by dedicated support teams, not you.
  • Clear opportunities for career growth into leadership and other departments.
  • Increasing commission opportunities with tenure (up to 90%!)
  • Path to residential Real Estate to turn your pipeline of renters into first-time homeowners.
Our Core Values in Action:
  • Honor-Bound: We do right by our clients and each other.
  • Overachievers: We always go the extra mile.
  • Never Settle: We're constantly striving for growth.
  • Optimistic: We are genuine and a force of positivity.
  • Real People: We show up, lift each other up, and get it done.
Qualifications & Requirements:
  • Sales or Client Service Experience: Building personal relationships is key to helping people find their homes. You'll be well-prepared to succeed if you have experience supporting clients in previous roles.
  • Real Estate License: You'll need to finish your coursework towards your Texas Real Estate License within 6 weeks of being offered a position. But don't worry-we'll walk you through the process!
  • Local Travel Required: Local travel around the city to tour with your clients.
  • Laptop Required: Having a laptop is crucial to being successful in this role. The expectation is that we are shockingly accessible to our clients, sometimes on short notice. Being tied down to running a search from only one location could limit the level of service you're able to provide your clients. You'll also want to make sure your laptop is set up for video calls, when the need arises!
    • While a MacBook is not required for this role, it is highly encouraged. We've found that the ability to seamlessly work with clients through your computer and phone at the same time often leads to greater efficiency and stronger results.
  • iPhone Required: The mobile version of our custom CRM only operates on iOS.
