Construction Accounting & AP Coordinator
Location: San Clemente, CA
Schedule: Monday–Friday, 100% In Office
Hours: 8:00 AM–4:00 PM or 9:00 AM–5:00 PM
Salary: $70,000–$75,000
Position Overview
A growing commercial construction company in San Clemente is seeking a Construction Accounting & AP Coordinator to support its accounting and project operations team.
This position is ideal for someone with hands-on Accounts Payable experience in the construction industry and strong QuickBooks skills. The successful candidate will work closely with the Controller and project teams, handling day-to-day AP processing while supporting project accounting, vendor documentation, lien releases, insurance certificates, reconciliations, and construction administration.
The Controller is looking for someone who can hit the ground running, but is also willing to mentor the right person and provide additional exposure to construction accounting and project operations.
Key Responsibilities
  • Process and code high-volume Accounts Payable invoices for multiple construction projects.
  • Enter and maintain invoices, vendor information, payments, and accounting records in QuickBooks.
  • Review invoices for appropriate project/job coding and supporting documentation.
  • Perform credit card and account reconciliations.
  • Maintain vendor and subcontractor records.
  • Track, collect, and maintain lien releases/waivers and preliminary notices.
  • Maintain and track Certificates of Insurance (COIs) and related subcontractor documentation.
  • Assist with project setup, job files, contracts, change orders, and project closeout documentation.
  • Work with project managers and the Controller to resolve invoice, vendor, and job-cost discrepancies.
  • Maintain organized electronic and physical project/accounting files.
  • Assist with project accounting and cost tracking as needed.
  • Provide administrative support across multiple active construction projects.
  • Assist the Controller with special accounting and operational projects.
Required Qualifications
  • Previous Accounts Payable experience within construction, general contracting, subcontracting, homebuilding, or a closely related industry.
  • Hands-on experience using QuickBooks in a professional accounting environment.
  • Understanding of construction invoices, vendors, subcontractors, and project/job-based accounting.
  • Strong reconciliation and data-entry skills with excellent attention to detail.
  • Ability to manage a high volume of invoices and documentation accurately.
  • Strong organizational skills with the ability to prioritize multiple projects and deadlines.
  • Dependable, proactive, and comfortable working with limited supervision.
  • Willingness to ask questions, learn, and take ownership of responsibilities.
  • Comfortable working 100% onsite in San Clemente, Monday through Friday.
Highly Preferred
  • Experience with lien waivers/releases and preliminary notices.
  • Experience tracking Certificates of Insurance.
  • Knowledge of job costing and construction project accounting.
  • Experience processing subcontractor/vendor invoices.
  • Experience with contracts, change orders, project setup, or project closeout.
  • Experience supporting Controllers, Project Accountants, or Project Managers.
  • Familiarity with construction accounting/project platforms such as Sage, Procore, Timberline, Textura, GC Pay, Levelset, or similar systems.
Ideal Candidate
The ideal candidate comes from a construction accounting environment and understands that Accounts Payable in construction involves more than simply entering invoices. They are comfortable working with project numbers, cost codes, subcontractors, vendors, lien documentation, insurance requirements, and multiple active jobs.
They are organized, reliable, approachable, and willing to jump in wherever needed. This person does not need to know everything on day one, but should have a solid construction/AP foundation and working QuickBooks experience.
