Job description

The Archdiocese of St. Louis Catholic Education and Formation features an expansive coalition of schools that allow our children to develop a sense of purpose and value, receive a higher quality education, join a welcoming community and feel secure in a a dynamic future.  We have a rich history, with its establishment 200 years ago by St. Rose Phillppine Duchesne.  A coalition of schools serving over 50,000 students (PreK-12) within an 11-county area.  The educational experience provided to our students and their families is rooted in a higher calling from God to honor and celebrate the gifts He has given us.

Job Summary

The Administrative Assistant at St. Alban Roe Catholic School provides essential clerical and administrative support to ensure the efficient daily operations of the school office. This role serves as a primary administrative support for the principal as well as the primary point of contact for students, families, staff, and visitors while supporting the mission, values, and Catholic identity of the school through professionalism, organization, and effective communication.

Job Responsibilities
  • Provide administrative and clerical support to the school principal and administrative team.
  • Greet visitors, students, and families in a professional and welcoming manner in collaboration with the office receptionist.
  • Answer and direct phone calls, emails, and general inquiries promptly and courteously.
  • Maintain accurate records, files, and confidential documents in accordance with school policies.
  • Maintain, manage, and support enrollment records of current and prospective families, tuition, and scholarship/aide for school.
  • Manage enrollment, scheduling, and coordination of after-school care program (Crusader Care).
  • Assist with student attendance, enrollment documentation, and record management.
  • Support scheduling, calendar coordination, and preparation for meetings and school events.
  • Prepare correspondence, reports, forms, and other documents as requested.
  • Assist with school communications, including newsletters, emails, and internal notices.
  • Inventory, manage, and order, books, educational supplies, office supplies and support daytoday office organization.
  • Collaborate with faculty, staff, and administration to support school daily operations.
  • Uphold confidentiality and comply with diocesan, school, and legal guidelines.
  • Contribute to a positive, mission-aligned school culture centered on the Catholic faith and values.
  • Perform all other duties as assigned.
Job Requirements
  • High school diploma or equivalent (required); associate's or bachelor's degree preferred.
  • Prior experience in an administrative or office support role (preferred).
  • Strong organizational skills and the ability to be proactive and self-motivated. 
  • Excellent communication and interpersonal abilities.
  • Ability to manage multiple tasks efficiently and maintain attention to detail.
  • High level of proficiency with computers, office software, data entry, and record keeping
  • Professional demeanor and ability to work collaboratively with staff, students, and families.
  • Commitment to Catholic education and willingness to support the mission of St. Alban Roe Catholic Church.
