Job description

The Early Learning Coalition of Palm Beach County is looking for an Office Assistant/Receptionist to join our team!

WHO WE ARE:

The Early Learning Coalition of Palm Beach County, Inc. strives to ensure that children and their families have access to high-quality, affordable early learning programs and services in our community. We are a local 501(c)(3) nonprofit organization dedicated to building a community-wide committment to ensure that every child is ready to succeed in school and life through comprehensive, high-quality early learning environments.

SUMMARY:

This position is primarily responsible for working directly with customers and staff, providing courteous, friendly, and professional assistance. Good organizational, interpersonal, scheduling, and professional phone skills are necessary. This is a full-time position, with 40 hours per week Monday through Friday from 8:30 am to 5:00 pm and is not eligible for alternative work schedules. Ability to report to office location and attend meetings when required. Able to read, write and speak in English proficiently, is required.

HOURS:

This is a full-time position, and business hours at the Boynton location is Monday through Friday 8:30 am to 5:00 pm. Longer hours, evenings, and weekends may be necessary on occasion.

PAY RATE: up to $18.75 per hour commensurate with experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Serves as the primary receptionist; answers and directs incoming phone calls using a multi-line phone system, takes messages, and provides general information; greets and directs visitors; answers routine inquiries.
  • Greets visitors and callers, handle their inquiries, and direct them to the appropriate people according to their needs, monitors visitor access.
  • Responsible for open and close procedures each day.
  • Opens, reads, routes, and distributes incoming mail and other material and answer routine letters.
  • Completes correspondence and uses appropriate formats in accordance with company procedures.
  • Performs a variety of typing and data entry assignments; prepares and prints routine correspondence, letters, labels, and/or other basic written material.
  • Supports program operations and other departments as necessary.
  • Prepares bulk mailings.
  • Makes copies of materials as requested; may oversee day-to-day operation of copy machine; may prepare and transmit facsimiles.

EDUCATION AND/OR EXPERIENCE:

  • A High school diploma or general education degree (GED).
  • One-year administrative office experience is required.
  • Proficient in typing skills.
  • Must be Tech savvy overall, using cloud-based systems, IOS, Windows 8 and 10, with computer knowledge in Microsoft Office (Excel, PowerPoint, Word, Outlook).
  • Experience working in a customer service environment.
