Technical Writer-Digital Products, Approvals & UX Documentation

Summary:

The Technical Writer - Digital Products, Approvals & UX Documentation is responsible for planning, developing, and delivering clear, accurate, and user-focused documentation and digital media for Company products. This includes traditional product manuals, labels, and approval/agency documentation, as well as modern digital-first content, UI/UX support for software products, and multimedia content to help customers install and use our products safely and effectively.

The Technical Writer will work closely with Engineering, Product Management, UI/UX, Compliance, Marketing, and Customer Service to ensure all documentation-print and digital-is technically accurate, compliant with regulatory requirements, and aligned with the needs of end users. This is a full time, in office role based out of our head office in Vaughan, ON.

Key Responsibilities:Product manuals, labels, and regulatory/approvals documentation
  • Plan, write, and maintain installation manuals, user manuals, quick-start guides, and technical documentation for the full product line.
  • Develop and maintain product labels, markings, and safety information, ensuring alignment with regulatory and approval requirements.
  • Prepare and maintain content required for approval agencies and regulatory bodies, including technical specifications, product data sheets, test summaries, and other supporting documentation.
  • Coordinate with Engineering, Compliance, and Approval Agencies (as required) to support approval applications, renewals, and ongoing certification requirements.
  • Maintain accurate and organized records, document history, and version control for all manuals, labels, and regulatory submissions.
  • Ensure documentation is consistent in format, terminology, and branding, and meets applicable ULC standards and codes.
Digital-first product documentation
  • Develop and maintain online help, web-based documentation, and knowledge base articles for digital and software-enabled products.
  • Author structured, reusable content that can be published to multiple channels (PDF, web help, in-app help, support portals, etc.).
  • Create and maintain quick reference guides and FAQs that support customer self-service and reduce support inquiries.
  • Work with internal stakeholders to ensure documentation is updated in alignment with product releases and software updates.
UI/UX documentation and software product support
  • Collaborate with UI/UX designers, product managers, and software engineers to document user workflows, interface behaviors, error messages, and interaction patterns.
  • Contribute to the design and content of in-app help, tooltips, on-screen prompts, walkthroughs, and contextual assistance to improve user experience.
  • Review and refine user-facing UI text (labels, instructions, dialogs, alerts, error messages) for clarity, consistency, and tone.
  • Participate in design reviews, usability testing, and feedback sessions to ensure documentation and UI text support user needs and product goals.
Digital media creation and customer enablement
  • Plan, script, and produce digital media assets such as video tutorials, screen captures, animations, and interactive demos to help customers install, configure, and use products.
  • Create annotated screenshots, diagrams, and visual aids to explain technical concepts and procedures.
  • Work with Marketing and Customer Support to incorporate digital media into websites, customer portals, and training materials.
  • Ensure digital media content follows company branding, accessibility, and quality guidelines.

Customer and internal support

  • Respond to internal and external inquiries related to product documentation, labels, and approvals.
  • Provide documentation support to Engineering, Manufacturing, Sales, and Customer Service as needed (e.g., custom documentation requests, tender submissions, technical clarifications).
  • Assist in investigating and resolving documentation-related issues reported by customers or internal stakeholders.
Content strategy, process improvement, and other duties
  • Support the development and maintenance of a content strategy that ensures consistent, up-to-date information across manuals, brochures, data sheets, websites, knowledge bases, and in-app help.
  • Maintain centralized repositories and taxonomies for documentation and media, supporting content reuse and governance.
  • Contribute to the continuous improvement of documentation standards, templates, style guides, and workflows.
  • Perform other related duties as assigned.
Requirements and Skills: 
  • Diploma or degree in Technical Communication, Engineering Technology, Computer Science, UX Design, or a related discipline.
  • 3-5 years of experience as a Technical Writer, Technical Communicator, or similar role in an engineering, manufacturing, or technology environment.
  • Experience supporting regulatory/approval documentation (e.g., electrical safety, product approvals, or similar) is preferred.
  • At least 2 years of experience producing documentation for digital products, software, or web-based solutions (e.g., embedded interfaces, SaaS, or control software) is an asset.
  • Experience working closely with engineering, product management, and UI/UX teams in an agile or iterative development environment.
  • Strong technical writing skills with the ability to translate complex technical and regulatory information into clear, concise, and user-friendly content.
  • Knowledge of electrical or electronic products, systems, or related technologies (experience with Company product lines or similar products is an asset).
  • Understanding of regulatory and approval requirements relevant to the company's products (e.g., UL, ULC, CSA, CE, or equivalent), and the documentation needed to support them.
  • Demonstrated experience creating and maintaining user manuals, labels, and technical data sheets.
  • Demonstrated experience producing documentation for digital-first products, including web applications, embedded interfaces, or software-controlled equipment.
  • Familiarity with modern documentation tools and platforms such as: Camtasia, Snagit, Loom, Adobe Captivate, or equivalent for creating video tutorials and annotated screen captures.

  • Experience collaborating in UI/UX design tools such as Figma, Sketch, Adobe XD, or similar to review and document user flows and interfaces.

  • Knowledge of Framemaker software is desirable.
  • Understanding of content strategy, information architecture, and multi-channel content delivery (manuals, brochures, data sheets, web, in-app help, knowledge bases).
  • Familiarity with UI writing / microcopy best practices and accessibility standards (e.g., WCAG) for digital products.
  • Strong organizational and time management skills with the ability to manage multiple projects and deadlines.
  • Excellent interpersonal and communication skills, with the ability to work effectively with cross-functional teams and external agencies.
  • High attention to detail and commitment to accuracy, compliance, and quality.
  • Must reside in the Greater Toronto Area.
