Salary: 25.00 to 28.00 per hour, based on experience

Vascular Surgery Medical Group is a busy and growing vascular practice specializing in minimally invasive vascular procedures, vascular ultrasound, and patient-centered care. Our goal is to help patients get out of pain and back to living their lives through advanced vascular treatment and compassionate care. We are a team-oriented practice that believes in supporting each other, improving processes, and building a strong, positive work environment.

We are currently seeking a highly organized, detail-oriented Angio Suite Scheduler
to join our team. This is a key role in the practice and ideal for someone who understands authorizations, surgery scheduling, insurance processes, and medical billing workflows.


Position Summary

The Angio Suite Scheduler/Medical Biller is responsible for coordinating all procedure scheduling for the Angio Suite, managing insurance verifications and prior authorizations, scheduling surgeries and procedures, and supporting billing workflow by ensuring accurate documentation and authorizations are in place prior to procedures. This position plays a critical role in patient flow, revenue cycle support, and overall clinic efficiency.

This role requires strong organizational skills, attention to detail, and the ability to communicate effectively with patients, physicians, clinical staff, insurance companies, and billing staff.

Key Responsibilities

  • Schedule vascular procedures, surgeries, office visits, and follow-up appointments
  • Coordinate the Angio Suite procedure calendar with physicians and clinical staff
  • Verify patient insurance eligibility and benefits
  • Obtain prior authorizations for procedures, imaging, and surgeries
  • Understand and manage the authorization process from submission through approval
  • Communicate with insurance companies regarding authorizations, benefits, and coverage
  • Ensure all authorizations are obtained prior to scheduled procedures
  • Manage the medical billing process to ensure procedures are authorized and billable
  • Support medical billing workflow by ensuring that correct insurance, authorizations, and procedure documentation are in place
  • Confirm scheduled procedures with patients and provide instructions
  • Coordinate scheduling between the main office and satellite locations (Hayward and San Ramon)
  • Enter and maintain accurate patient information in EMR system
  • Assist with front desk duties, including check-in and check-out, as needed
  • Maintain organized scheduling records and authorization documentation
  • Support overall clinic workflow and patient experience

Minimum Qualifications

  • Minimum 2 years of medical scheduling or medical front office experience
  • Experience with insurance verification and prior authorizations
  • Experience with surgery or procedure scheduling
  • Understanding of the medical billing process and insurance workflows
  • Knowledge of medical terminology
  • Strong computer skills
  • Experience with EMR systems such as Athena, Epic, or similar
  • Strong organizational and multitasking skills
  • Excellent communication and customer service skills
  • Valid Drivers License
  • Ability to travel between offices (Hayward and San Ramon)

Preferred Qualifications

  • Bilingual English / Spanish
  • Experience in vascular, surgery, radiology, or specialty medical practice
  • Experience in scheduling surgical or procedural cases
  • Experience working in a fast-paced outpatient clinic
  • Experience working with billing teams or revenue cycle processes

Work Schedule

  • Monday Friday
  • 8:00 AM 4:30 PM
  • Rare overtime or occasional weekends as needed
  • Travel between offices is approximately 25%

Compensation & Benefits

Hourly Pay: $25.00 to 28.00 per hour, based on experience
Expected Hours: 40 per week
